Advisor Administrative Assistant

About the role
This full-time position manages systems for client servicing and onboarding, ensuring efficient operations for both current and expanding client bases. You will work directly with the Financial Advisor to assist with all aspects of their daily work routine.
Responsibilities
- Participate in weekly meetings with the Advisor to discuss upcoming appointments and action items.
- Monitor action items for new client onboarding.
- Schedule appointments and manage annual, semiannual, and quarterly review schedules.
- Handle routine client inquiries independently within licensed authority.
- Prepare account summaries, portfolio analyses, and materials for client review meetings.
- Review applications, account changes, and related paperwork to oversee new client onboarding.
- Complete all tasks for new client onboarding, including gathering documentation, sending electronic applications, transferring accounts, linking bank accounts, establishing systematic deposit schedules, guiding clients through insurance underwriting, and setting up client electronic access.
- Manage most client communication involving service requests, application reviews, and account changes.
- Use software systems and client information to manage Model Portfolio Accumulation Systems (MAPS) risk tolerance for clients.
- Compile, sort, and verify data reports using systems such as eMoney, Morningstar, and Orion.
- Research and analyze shifts in client portfolio allocations away from target allocations.
- Prepare and summarize daily, quarterly, and monthly reports for client transactions and earnings.
- Complete trades in clients’ accounts as instructed.
Requirements
- Strong organizational skills and attention to detail, including composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
- Ability to learn the habits and needs of executives to anticipate their requirements.
- Excellent initiative, ability to learn quickly, and work independently.
- Knowledge of data gathering and reporting procedures.
- Ability to manage multiple projects and meet changing deadlines.
- Strong problem-solving skills to ensure excellent client service and efficient business processing.
- Ability to interact and communicate with individuals at all levels of the organization.
Qualifications
- Associate’s degree (required); Bachelor’s degree (preferred).
- Financial background or similar experience (preferred).
- 2-4 years of experience as a personal assistant (preferred).
Skills
- Proficiency in Microsoft Excel and Outlook.
- Typing speed of at least 40 wpm.
- Experience with Salesforce.
