About the Role
The Advancement Administrative Coordinator at Rainbow Acres is a highly organized, service-oriented professional responsible for providing administrative, scheduling, coordination, and operational support to the Chief Advancement Officer and the broader Advancement team. This position plays a central role in keeping departmental priorities, meetings, communications, calendars, projects, and day-to-day administrative functions moving efficiently and effectively. This is a safety-sensitive position requiring strong attention to detail and accountability.
Responsibilities
- Provide direct executive support to the Chief Advancement Officer while coordinating administrative needs across fundraising, development operations, marketing, admissions, outreach, and other Advancement initiatives.
- Manage complex calendars, schedule meetings, and coordinate logistics for multiple projects and priorities.
- Exercise strong judgment, discretion, and professionalism in handling sensitive organizational, personnel, donor, resident, and family information.
- Anticipate needs, solve problems, and communicate effectively with staff, residents, families, donors, volunteers, board members, and community partners.
- Work independently, prioritize competing demands, and maintain efficiency in a fast-paced, mission-driven environment.
Requirements
- A minimum of three (3) years of administrative, executive support, office coordination, project coordination, or similar professional experience.
- Bachelor’s degree preferred or an equivalent combination of education and experience.
- Demonstrated experience managing complex calendars, scheduling meetings, coordinating logistics, and supporting multiple projects.
- Strong proficiency with Microsoft Office, virtual meeting platforms, and other administrative technology; experience with CRM or project management systems is a plus.
- Exceptional organizational skills with strong attention to detail and the ability to meet deadlines.
- Excellent written and verbal communication skills with the ability to interact professionally and tactfully with diverse audiences.
- Proven ability to maintain confidentiality and exercise discretion.
- Strong interpersonal skills and the ability to build positive working relationships across departments and with external stakeholders.
- Ability to work flexible hours as needed for organizational events, meetings, and Advancement responsibilities.
- Alignment with a Christian, faith-based mission is preferred.
