Position Summary

Under the supervision of the Aging and Disability Services Manager, the Aging and Disabilities Services Program Assistant provides a variety of social services functions, supportive services, and clerical duties that call for knowledge of agency services and program requirements. May serve as the initial contact between the general public and the ARDC Division. Also backs-up to the WHEAP Coordinator. Requires the exercise of independent judgment in carrying out responsibilities.

Essential Duties And Responsibilities

  • Receives ADRC referrals via phone, walk-in, mail or computer and enters information in computer databases
  • Affords information and assistance to individuals who are elderly, physically disabled, developmentally/intellectually disabled, and those who are experiencing mental illness or substance abuse issues
  • Offers assistance to professional staff as a provider of supportive services and in the delivery of services
  • Interviews clients to assist professional staff such as determining eligibility for services and providing referral information
  • Affords clerical support for WHEAP, nutrition, and transportation programs
  • Provides back-up to Aging and WHEAP Coordinator
  • Affords clerical support to Aging and APS Social Workers in delivery of services or functions including but not limited to, WATTS review tracking, court preparations and paperwork
  • Affords assistance to clients in obtaining supportive services
  • Affords assistance to professionals with query records or reports, pulling/reviewing hard file records, making copies, managing and filing records
  • Interacts with the public and co-workers in a courteous, proficient, and professional manner
  • Maintains security and confidentiality of records
  • Compiles, calculates, and tabulates statistical data and prepares reports as needed
  • Affords assistance with evidence based programing initiatives
  • Performs general agency typing, word processing, data entry, reception and general clerical support
  • Performs other duties as assigned

Education And Experience Requirements

  • High School Diploma or equivalent
  • Associates Degree in Human Services, Psychology, Sociology or Social Science preferred
  • Minimum of one (1) year paid or volunteer experience working with persons who are elderly, developmentally/intellectually disabled, or physically disabled

Knowledge, Skills And Abilities Required To Perform Job

  • Knowledge and proficient in Microsoft Office Suite programs
  • Knowledge of agency services and program requirements
  • Knowledge of resources and ways in which these resources may be used by people in need
  • Ability to work with diverse populations
  • Ability to relate to people in an unprejudiced and understanding manner with concerns for their circumstances and feelings
  • Ability to communicate clearly and effectively in person and over the telephone
  • Ability to interview people, extract required information and make good independent judgments
  • Ability to compile data/documentation and provide accurate and understandable reports
  • Ability to participate meaningfully in trainings provided by the agency or other resources
  • Ability to work as part of a service delivery team
  • Ability to plan, organize, and prioritize work to most effectively achieve objectives
  • Ability to learn specialized software applications and programs as required
  • Ability to work with confidential material
  • Ability to read and interpret documents, and laws in the English language
  • Ability to listen to and understand information and ideas in spoken and written format so individuals may effectively understand and convey communications
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent
  • Inductive and deductive reasoning – ability to combine separate pieces of information, or specific answers to problems, to form general rules or conclusions; includes coming up with a logical explanation for why a series of seemingly unrelated events occur together and deciding if an answer makes sense

  • Deferred Compensation Plans: Two plans are available.
  • Voluntary Accident/Cancer/Critical Illness Insurance: Employer will contribute $10 per month towards the plan.
  • ID Protection State Retirement: Employer match 50% PTO: General Employees: 22 days during years 1 & 2 to a maximum of 37 days Managers: 27 days per year during 1st – 6th years of service; to a maximum of 37 days Jail/Dispatch: 24 days during years 1-5 to a maximum of 37 days Holidays: Non-Law Enforcement: 9 specific and 1 floating Law Enforcement: 10 personal days in lieu of holidays
