About the Role

The Admitting Representative facilitates the pre-admission or admission of all patients into the hospital, ensuring a courteous and professional experience. This role serves as the primary welcoming representative, creating a positive first impression for patients, visitors, and the public. The position involves collaboration with multiple departments to ensure accurate patient registration, billing, case management, and discharge planning.

Responsibilities

  • Patient Relations
    • Represents the organization as the primary welcoming representative to patients, visitors, and the public.
    • Conducts interactions in alignment with organizational customer service standards.
    • Interviews patients courteously to obtain accurate information and facilitate quick admission and registration.
    • Adheres to the established dress code of the customer relations department.
    • Escorts or arranges escort for patients or visitors to designated areas as needed.
  • Communication
    • Interprets and explains hospital, state, federal policies, and organizational services to patients and visitors in an understandable and respectful manner.
    • Communicates effectively and professionally with patients, visitors, physicians, and hospital personnel.
    • Works in a fast-paced public environment, prioritizing multiple tasks related to customer service, clerical duties, and physician relations.
    • Recognizes situations requiring managerial support and escalates as needed.
    • Communicates all financial and demographic data to the Registration Department to ensure a complete admission folder.
    • Alerts appropriate departments of self-pay accounts for follow-up and review.
  • Clerical
    • Witnesses and obtains patient signatures on all required forms to facilitate admission and registration.
    • Adheres to organizational policies related to HIPAA, including privacy and confidentiality.
    • Creates admission financial files for each patient (ER, IPS, BHU, MDU, Surgery) containing all required documents and copies for billing.
    • Verifies benefits and obtains eligibility for every patient encounter.
    • Notifies the Insurance Company and IPA for every patient admitted (Inpatient, BHU, MDU, Surgery) prior to admission.
    • Uses 2 patient identifiers as outlined in the National Patient Safety Goals standards per Joint Commission.
    • Ensures accurate patient identification and record entry into the registration system using patient labels.
    • Reconciles current census admissions and discharges prior to shift-end for 100% accuracy.
    • Collects monies, writes receipts, and deposits money into the safe in accordance with departmental and hospital policies.
  • Department Responsibilities
    • Actively supports department and hospital policies, procedures, and regulations.
    • Maintains a well-organized, equipped, and safe work environment at maximum efficiency.
    • Assists coworkers and peers to improve department or hospital-wide processes.
    • Completes the Daily Productivity Log at the end of each shift.
    • Remains flexible with shifts or days as emergencies arise.
    • Attends required staff meetings, in-services, and certification courses for personnel file.

Requirements

  • Minimum of 1-year progressive admission/registration experience or previous medical office/medical billing experience preferred.
  • Knowledge of medical terminology and third-party reimbursement.
  • Excellent verbal and written communication skills; bilingual English/Spanish preferred.
  • Manual dexterity and mobility, including the ability to push wheelchairs with weight up to 150 lbs.
  • Proficiency in using computers, electronic equipment (CPT, printers, typewriters, telephones, and fax machines).
  • Must obtain MAB (Management of Assaultive Behavior) and Fire Card certification within the first 60 days of employment.
  • Required to attend an AIDET Training class.
