About the Work Unit

This Work Unit exists to support the operation of public transportation facilities and services in support of the social, economic and environmental goals of the people of Colorado. To provide administrative and technical support to interpret, coordinate, facilitate and provide factual information to the traveling public, maintenance supervision, section employees and departmental personnel pertaining to Colorado Department of Transportation policies and procedures using the most efficient, effective and resourceful methods possible.

About the Position

This position will provide technical and administrative support by implementing professional standards in communication, answering inquiries from the public and state employees concerning departmental policies, procedures, and general road conditions and making referrals to appropriate information sources. Develop and implement functional and operational procedures in order to increase efficiency. Collect, evaluate, collate, and create reports. Complete data entry and track various information and documents in a variety of computer systems. Accurately process invoices, section correspondence, timesheets, personnel and other departmental forms, general mail, and copies of requested data. Compile and manipulate data into usable mediums to assist leadership in making strategic and operational decisions. This position must provide support to the Superintendent, Deputy Maintenance Superintendents, Technician V, LTC OPS I and Section Employees, as well as duties previously assigned.

Responsibilities

Your duties and responsibilities will include, but are not limited to, the following:

  • Perform technical support for the Superintendent, Deputy Maintenance Superintendent, Office Manager (Tech V), LTC OPS I's, and Maintenance Employees. This position must make decisions to facilitate functions in the areas of quality customer service and maintaining procedures to coordinate, collect and monitor information, digital and paper files, and documents.
  • Implements office procedures and processes.
  • Collect information from public and notify proper CDOT personnel of problems or hazards that may/could exist.
  • Timekeeper for the King area. Backup timekeeper for John and Lincoln Areas, Shop, Special Crews, Storeroom and Superintendent and Deputy Superintendent.
  • Communicates with Human Resources and Payroll to resolve employee time sheet issues.
  • Work collaboratively to ensure consistency of program implementation and ensure compliance with program requirements.
  • Implement office procedures to track Adopt a Highway group coordinators, locations and agreement expirations.
  • Assist in developing and maintaining a database to track group expiration dates, renewal requests and available locations.
  • Represent the Department and supervisors in person, by telephone and in correspondence with other governmental agencies, contractors, private industry, media and public; independently replies to inquiries regarding maintenance operations, policies and procedures, or citizen concerns.
  • Greet internal/external customers and directs individuals to appropriate location/personnel.
  • Answer multi-line telephones, screen calls, complete and process resulting messages efficient for the Section Complex.
  • Monitor locations and shelf life of the AED unit batteries and pads for the Section.
  • Manage the Maintenance Section 6 Driver's Files, to include both digital and paper.
  • Make independent decisions regarding scheduling of employee physicals and coordinates scheduling of DOT physicals with Occu-Med and with other office staff if applicable.
  • Other duties as assigned.

Work Environment

  • Your schedule will primarily be 8:00 am – 5:00 pm work hours, Monday-Friday, but we are flexible to meet your work/life balance needs while ensuring CDOT business needs are met.
  • Travel may be required during work hours throughout Region 3
  • Occasional overnight travel 1-3 times a year throughout Colorado
  • Required to operate CDOT vehicles

Minimum Qualifications

Three years of work experience where the primary responsibility involved applying rules and procedures for the entry and quality assurance of data; creating reports, reviewing and processing financial documents and advanced proficiency using computer software/systems daily (e.g. Google Suite, MS Access, Excel, SAP).

Experience & Education: A combination of related education and/or relevant experience that involved applying rules and procedures for the entry and quality assurance of data; creating reports, reviewing and processing financial documents and advanced proficiency using computer software/systems daily (e.g. Google Suite, MS Access, Excel, SAP).
