Administrative Support Manager
About the role
We are seeking an Administrative Support Manager to join our Firm. This position will be based in our New York office (hybrid).
Responsibilities
- Manages the daily operations of the Administrative Support department including department projects, day-to-day operations and long-range plans.
- Maintains accuracy and compliance with Firm policies for time, attendance, overtime, expense reports, and absence requests.
- Coordinates daily workflow, oversees workloads, and monitors utilization.
- Manages and addresses staffing requests and assignments efficiently.
- Ensures accurate and timely responses to requests for departmental services.
- Provides ongoing coaching and guidance to business services professionals to implement continuous quality improvements and/or enhancements to department operating efficiency.
- Participates in the recruitment, interviewing, and selection process for Executive Assistants and Administrative Project Coordinators, ensuring the highest standards of talent acquisition.
- Consults regularly with the department’s Assistant Director and other managers in the creation and implementation of team programs and initiatives, as well as regarding the status of employees’ work performance and broader departmental updates.
- Collaborates with peer managers in the Administrative Support Department, Paralegal Services and Operations Group Management teams, to increase departmental efficiency, strengthen employee knowledge, and abilities, improve leadership and maintain high level service support to attorneys and clients.
- Pairs with other members of the Administrative Support management team to design, coordinate, and deliver training programs tailored to the experience and development needs of the Administrative Support business services professionals.
- Ensures current knowledge of Firm policies and practices, current knowledge of industry trends and continued professional development for business services professionals.
- Serves as an active member of management by recommending new or revised policies, procedures and/or practices that promote efficiency, effectiveness, excellent customer services and excellent management and employee relations.
- Suggests new programs and/or activities, which reflect best practices or current trends in legal administration.
- Utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.
- Initiates disciplinary procedures in collaboration with the Human Resources Department.
- Recommends guidelines and practices to promote efficiency, effectiveness, excellent customer service and improved employee relations in alignment with the Firm's Core Values.
- Develops and communicates departmental guidelines and procedures.
- Forecasts financial and budget requirements for the department, prepares related reports, and monitors the budget.
- Manages Firm resources responsibly.
- Complies with and understands Firm operations, policies and procedures.
- Performs other related duties as assigned.
Qualifications
- Current knowledge of law firm administration and administrative support best practices, trends and techniques.
- Knowledge of relevant Firm computer software programs (e.g., Outlook, Word, Excel), with the ability to learn new software and operating systems.
- Demonstrated experience with leading and supervising others.
- Effectively employs coaching and problem solving techniques.
- Organizes and prioritizes work and delegates effectively.
- Handles sensitive matters and maintains confidentiality.
- Exhibits excellent analytical, troubleshooting, organizational, and planning skills.
- Administers Firm policies and procedures.
- Handles multiple projects and shifting priorities.
- Displays effective interpersonal and communication skills, both verbally and in writing.
- Shows close attention to detail.
- Uses discretion and exercises independent and sound judgment.
- Works well in a demanding and fast-paced environment.
- Works well independently as well as effectively within a team.
- Flexible to adjust hours and work the hours necessary to meet operating and business needs.
- Bachelor's degree.
- Minimum of eight years administrative management or related experience in a law firm or professional services environment, including four years of supervisory experience.
- Demonstrated success in leading others, problem solving, resolving conflicts and developing effective work relationships with employees at all levels.

Pay
The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details
$155,000 - $175,000
