About the Role

This position provides administrative and customer service support within a Child and Youth Services (CYS) program, ensuring smooth daily operations and adherence to program policies.

Responsibilities

  • Receive children, youth, parents, and other visitors in a courteous and professional manner.
  • Answer telephones, ascertain the nature of calls, and direct callers to appropriate staff.
  • Ensure parents, children, youth, and visitors properly sign into the program prior to entering the facility.
  • Monitor children’s departure to ensure only authorized individuals remove them from the building.
  • Register and terminate children/youth within the CYS program and/or waiting list database.
  • Utilize the Child and Youth Management System (CYMS) to record transactions, enter data, and generate reports.
  • Provide administrative support, including mail preparation, copying, distribution, correspondence, memorandums, briefings, Daily Activity Reports, and other operational requirements.
  • Articulate and enforce policies relating to patron fees, waiting lists, enrollments, terminations, and program events.
  • Coordinate vacancies and reservations for the hourly care program as required.

Requirements

  • Direct Deposit and Social Security Card are required.
  • Must meet qualification, eligibility, and background requirements for the position.
  • A one-year probationary period may be required.
  • Must satisfactorily complete an employment verification (E-Verify) check.
  • Satisfactory completion of pre-employment background checks, including a Child Care Tier 1 background investigation, in accordance with AR 215-3, 2-15.m.
  • Must have a current health assessment documenting good mental and physical health, freedom from communicable disease, and immunizations per Army and DoD policy, including annual influenza vaccinations.
  • Successful completion of annual training requirements within the prescribed time frame and demonstrated on-the-job competence.
  • May be subject to irregular hours, evenings, and/or weekends.
  • Travel to on- and off-post locations is required.

NF-02 Qualifications

  • Experience working in an office setting, demonstrating skill in administrative and clerical procedures, customer service concepts, and communication techniques in a professional environment.
  • Experience using office automation to prepare documents, manage files, and maintain records.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).

NF-03 Qualifications

  • Experience working in a professional office setting requiring administrative and clerical skills in managing filing systems and maintaining documents (e.g., attendance records, official correspondence).
  • Demonstrated customer service and business communication skills.
  • Knowledge of correct grammar and composition techniques to prepare written material from various sources.
  • Proficiency in using computers for applications including Microsoft Office Suite (Windows, Word, PowerPoint, Excel, and Outlook).
  • Experience entering and maintaining information in automated databases.
  • At least one year of experience equivalent to the next lower grade level (NF-02).

Highly Preferred Qualifications: Experience utilizing automated systems (e.g., CYMS—Child and Youth Management System) for childcare operations.
