Administrative Support Assistant

About the role
This entry-level position is designed to build a strong foundation in legal administrative support. The Administrative Support Assistant provides essential clerical and administrative assistance to attorneys, paralegals, and legal administrative staff while receiving hands-on training, mentorship, and opportunities for professional growth. As part of the firmwide administrative support team (FAST), you will assist multiple attorneys, practice groups, and offices. This role requires in-office support and is ideal for candidates seeking to develop valuable experience in a professional service environment.
Responsibilities
- Provide clerical and administrative support to legal support staff, attorneys, and paralegals under the guidance of experienced Legal Administrative Assistants or Specialists.
- Ensure attorney time entries are entered, proofread, edited as necessary, and released in accordance with firm deadlines and billing requirements.
- Profile, upload, and manage documents within the Firm’s electronic document management system; organize and maintain paper files as needed.
- Perform scanning, copying, printing, and document production tasks to support attorneys and legal teams.
- Enter invoices and attorney expense reports into the Firm’s expense management system as assigned.
- Assist with special projects, overflow work, and team-based administrative responsibilities to ensure consistent coverage and efficient workflow.
- Support a collaborative team environment by maintaining flexibility, professionalism, and a service-oriented mindset.
Requirements
- High School Diploma or equivalent required; Associate degree preferred.
- Minimum of one (1) year of experience in an administrative, office support, or professional services environment preferred.
- Intermediate proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Strong organizational, communication, and attention-to-detail skills.
- Ability to manage multiple tasks, meet deadlines, and work effectively in a fast-paced environment.
Pay
For applicants that meet the experience requirements and are physically based in New York City, the expected salary range is $48,000 - $56,000 annually. Starting salary will be determined on an individualized basis with consideration to prior experience and additional qualifications.
