Administrative Staff Member

About the role
In this role you will provide administrative and clerical support to ensure the efficient operation of the immigration processing and custodial facility. You will assist leadership and operational staff with documentation, scheduling, data entry, and coordination of day-to-day activities. This position is critical in maintaining accurate records, supporting compliance requirements, and facilitating communication across departments. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.
Responsibilities
- Provide general administrative support to facility leadership and staff.
- Maintain and organize files, records, and documentation in accordance with established policies and procedures.
- Perform data entry and ensure accuracy of personnel, operational, and compliance-related information.
- Coordinate scheduling, meetings, and appointments for staff and leadership.
- Prepare reports, correspondence, and other administrative documents as required.
- Assist with onboarding processes, including collection and tracking of required documentation.
- Maintain confidentiality of sensitive information and records.
- Support communication between departments to ensure smooth operational workflow.
- Monitor and order office supplies, ensuring adequate inventory levels.
- Assist with timekeeping, attendance tracking, and basic payroll support functions.
- Respond to inquiries via phone, email, or in person, directing them appropriately.
- Ensure compliance with company policies and applicable regulatory requirements.
Requirements
- Minimum of two (2) years of relevant administrative experience.
- Administrative experience within military, law enforcement, or detention/corrections setting.
- Proficiency in Microsoft Office products, specifically Outlook email, Word, and Excel.
- Ability to use sound judgement and perform job duties with minimal supervision.
- Proof of citizenship or legal US work authorization.
- If prior active-duty military, copies of DD214(s) showing discharge condition.
- Consent to fingerprinting.
- At least 21 years of age.
- High school diploma or equivalent.
- Clean criminal record and ability to pass a comprehensive background check and security screening.
- Ability to pass a preemployment medical assessment and drug screening.
- Excellent communication, observation, and report-writing skills.
- Ability to remain calm and effective under pressure and in high-stress situations.
- Ability to work flexible shifts, including nights, weekends, and holidays.
Work Environment
Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise.
Physical Requirements
Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach. Employees may also be required to use gear to move items around, including, but not limited to, carts and dollies. Employees may occasionally be required to lift and/or move up to 49 pounds.
Pay
$24.09/hr. ($19/hr. base rate + $5.09 health and welfare benefits). Pay rates listed reflect the full rate for this position, including both the base pay and health and welfare benefits in accordance with applicable requirements. Pay is based on numerous factors including market location and may vary depending on job-related knowledge, skills, and experience.
