We are hiring an Administrative Staff Assistant for one of our clients in Hamilton, NJ. Job Description Speedy and accurate data entry of cases, administrative duties such as filing, copying and scanning, Microsoft Office skills, phone/customer service experience The FHU unit is very backed up with closing cases returned from the OAL and scanning the closed cases into our system; these cases are both county cases and Conduent cases. We are requesting 2additionaladministrativetemppositions (in office 5 days) to do administrative work such as scanning and closing cases. Currently Darnella Callendar was hired to primarily do the scanning (5 day in office position) but the team has been having to pivot and adjust duties when we lose a team member so currently Darnella is working to cover the work performed by team members who have left DMAHS, but the scanning is not getting done in the meantime. Closed cases have not been scanned in since mid-April. Even if we free up Darnella to do the scanning full time, the scanning of cases returned to us by the OAL as "Withdrawn" and "Failure to Appear" is significantly delayed as we are currently backed up to mid-April, representing an estimated backlog of about 1,400 1,500 files to be scanned. We typically process about 60 Withdrawn cases per week, but current staffing levels are not sufficient to close the gap. To maintain timely processing and avoid further backlog, we need additional personnel to help close and scan Failure to Appear and Withdrawn cases more efficiently. Regarding closing cases, our weekly volume averages around receiving 90 new cases retuned back from the OAL (approximately 360 per month), and with our current team of 3 full-time staff doing this work of closing cases (along with other duties), we are struggling to stay up to date closing the cases. Timely closure of these cases is essential to backlog reduction and adherence to the CMS Compliance Plan. Scanning is also a critical component of verifying case closures and supports the termination of benefits that were continued during the fair hearing process. Delays in scanning and closure increase the risk of compliance issues and extended benefit payments to individuals no longer eligible to receive continuation of benefit.
