Position Responsibilities
- Serves as the primary receptionist and greeter for the Dean’s Suite, welcoming visitors and directing inquiries appropriately.
- Answer and route incoming phone calls and respond to general inquiries in a professional and courteous manner.
- Cook up conference room and meeting space reservations for the Dean’s Suite and related events.
- Schedule and coordinate lunches, catering, and hospitality arrangements for meetings and special events.
- Aid with scheduling meetings, appointments, and calendar coordination for Dean’s Office activities.
- Maintain shared calendars and ensure meeting spaces are properly prepared and equipped.
- Provide administrative support for Dean’s Office events, meetings, and special projects.
- Aid with ordering office supplies and maintaining organized reception and common areas.
- Support travel logistics and visitor coordination as needed.
- Maintain professionalism and confidentiality while interacting with internal and external stakeholders.
Required Qualifications
- A high school diploma or GED and up to 1 year of relevant administrative, receptionist, customer service, or office support experience, or an equivalent combination of education, training, and experience.
- Demonstrated experience in a receptionist, customer service, or administrative support role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent oral, written, and interpersonal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Drive, Calendar).
- The ability to prioritize tasks, manage competing deadlines, and work independently.
- Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
