Part-time hourly position (20–30 hours per week) with core hours of 10:00 a.m. to 2:00 p.m. Availability for crucial backup support during weekday lunch timeframes is required.

About the role

The Administrative Projects Assistant performs a wide variety of project-related tasks, providing exceptional assistance within the Office of the President. The incumbent must exercise the highest degree of professional judgment, discretion, and tact while handling sensitive and confidential matters on a daily basis.

Responsibilities

  • Provide daily, leave, and vacation backup assistance to the Office Manager, including front desk coverage and answering all incoming calls to the office.
  • Support special assignments in alignment with overall office initiatives and projects, such as communications tracking, development of materials, and coordination around high-level events and meetings.
  • Assist with general project support to key individuals within the office.
  • Receive, review, and distribute mail; ensure items receive follow-up and timely responses.
  • Perform routine office management tasks.

Requirements

  • Proficient in MS Office applications (Word, Outlook, and calendar management).
  • Highly organized with the ability to manage multiple priorities and work independently in a fast-paced environment.
  • Ability to work collaboratively in a team atmosphere and demonstrate discretion with confidential information.
  • Sound judgment in decision-making.
  • Demonstrated professional communication skills with the ability to interact effectively in an executive environment.
  • Experience drafting and editing correspondence, reports, and other documents with a high degree of accuracy and attention to detail, including proofreading.

Preferred Qualifications

  • Experience providing executive administrative support in an academic or professional office environment.
  • Experience with Microsoft Office PowerPoint and MS Office Project.
  • Working knowledge of university organizational structure, policies and procedures, and governance system.
  • Experience facilitating meetings via Zoom or MS Teams.
