Administrative Project Coordinator
About the role
The Administrative Project Coordinator will provide upper-margin customer service, prioritize and organize tasks, and manage various administrative tasks for attorneys. This role is based in New York and has a hybrid in-office/remote schedule.
Responsibilities
- Coordinate complex travel requests, including visa-related materials and passport renewals.
- Troubleshoot software and hardware issues for attorneys.
- Aid in document management and records retention.
- Develop project strategies to ensure efficient task completion.
- Communicate with Firm support departments and internal staff to verify accuracy of completed work.
- Acquire and deploy knowledge of all Firm practice areas and specific tasks.
- Coordinate with other Firm offices, both domestic and international.
- Assist with Department initiatives and special projects.
- Achieve adherence to professional standards for all completed projects.
- Prepare engagement letters and new matter memos for new clients and matters.
- Participate in new-business conflicts process.
- Support business development efforts, enter contacts, and coordinate with Marketing department.
- Coordinate client-related business meals and maintain knowledge of preferred restaurants.
- Manage client interactions and visitor reception.
Requirements
- Ability to provide upper-margin customer service.
- High proficiency with relevant Firm computer software programs such as Outlook, Excel, and PowerPoint.
- High level of professionalism and flexibility to perform a wide range of tasks.
- Initiative and confidence to assume a high level of responsibility in a fast-paced environment.
- Strong organizational skills and the ability to handle multiple projects and assignments.
- Confidentiality and attention to detail.
- Effective communication and the ability to maintain a calm and professional demeanor.
- Ability to work independently and within a team.
- Ability to handle multiple projects, assignments, and shifting responsibilities and deadlines.
- Ability to work well under pressure.
- Notary Public license in New York State or ability to obtain a commission within six months of joining the Firm.
Qualifications
- Bachelor's Degree.
- Minimum two years’ related experience in a law or professional services firm.

This position offers a hybrid in-office/remote schedule.
Pay
The starting base salary for this position is expected to be within the range of $85,000 - $100,000, with actual salary determined based on skills, experience, and other job-related factors, consistent with applicable law.
