About the role
Join Vylor at our Johnston, Iowa headquarters as an Administrative Operations Manager. You will perform complex administrative duties with minimal supervision, provide oversight and guidance to an administrative team, and support the VP of Biotechnology and Biotech Leadership Team in a fast-paced, ever-changing environment where organization, resourcefulness, collaboration, and flexibility are essential.
Responsibilities
- Provide detailed and proactive support to the VP of Biotechnology, including calendar management to ensure preparedness for all meetings, events, and travel.
- Manage and process expense reports, budgets, and invoices.
- Supervise and lead a team of administrative employees within the department.
- Provide functional support to the Biotech Leadership Team, assisting with planning and execution of department-level projects, events, and meetings.
- Serve as a key contact for Human Resources processes, including position management, new hire orientation, document verification, payroll, and time entry, collaborating with Administrative Coordinators across the department.
- Compose, proofread, and manage correspondence, spreadsheets, presentations, reports, and documents, maintaining appropriate files and document management systems.
- Coordinate departmental and leadership meetings, organize agendas, take minutes, and distribute information.
- Oversee employment processes, such as coordinating the hiring process for new or replacement positions.
- Design and manage department administrative support workstreams and work processes.
- Provide career development guidance, coaching, and address performance issues within the administrative team.
- Delegate accurate information to support staff and assist when necessary.
- Actively lead, participate, or assist with company functions, committees, and teams.
- Perform other duties as assigned.
Requirements
- High school diploma required.
- Minimum of four (4) years of administrative or related experience, such as project or program management, event planning, or similar work.
- Strong ethical mindset with the ability to maintain confidentiality and discretion.
- Comfortable with technology, including Microsoft Office Applications (Outlook, Word, Excel, PowerPoint), Artificial Intelligence tools, and other office productivity tools; willingness to learn company-specific applications.
- Strong interpersonal skills to work independently, professionally, and collaboratively across the organization.
- Exceptional organizational skills with the ability to handle multiple priorities and deadlines with composure.
- High attention to detail and precision in multitasking.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to research, problem-solve, and recommend solutions to issues.
- Experience planning, coordinating, delegating, and leveraging a team to execute large-scale projects.
Preferences
- Bachelor’s Degree in Business Administration, Communication, HR, Accounting, or a related field.
- Previous experience utilizing Workday, Concur, SAP, or other related programs.
- Experience in team leadership, project management, and event planning.
Work Arrangement
This is an on-site position located at our Global Headquarters in Johnston, IA. No visa sponsorship or relocation allowance is offered for this position.
