This role provides essential administrative and operational support to the Administration Office, KidsCare Department, and other program areas, ensuring smooth day-to-day operations and directly supporting the care and experiences of children and families.

Schedule

  • Full time, 40 hours/week
  • Monday–Friday, 8:00 AM–5:00 PM
  • Two evenings per month to support specific programs

Responsibilities

  • Provide comprehensive administrative support to the Administration Office, KidsCare, RESET, and other programs.
  • Serve as the first point of contact for visitors; greet guests warmly and connect them with the appropriate staff.
  • Answer phones professionally, direct inquiries, take and relay accurate messages.
  • Support parent communications, including onboarding, welcome information, and KidsCare membership enrollments.
  • Manage and maintain the MyClubHub database; generate accurate reports (membership, attendance, demographics, etc.) and resolve system issues promptly.
  • Assist with completion of reports, forms, and other administrative documentation as assigned.
  • Oversee office operations, including:
    • Submitting and tracking maintenance requests.
    • Maintaining and ordering office supplies.
    • Preparing and reconciling bank deposits.
  • Coordinate office and staff events, celebrations, communications, and meeting logistics (room reservations, set-up, materials).
  • Travel to KidsCare and RESET program sites as needed to provide staffing or administrative support.
  • Work two evenings per month to provide on-site support for scheduled RESET programs.
  • Perform additional duties as assigned to support organizational goals.

Requirements

  • Minimum of 3 years’ experience in an administrative or office management role.
  • Strong written and verbal communication skills.
  • Bilingual in Spanish preferred; English proficiency required.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); database management experience a plus.
  • Demonstrated ability to uphold and reflect the organization’s mission and values in daily work.
  • Reliable transportation, valid driver’s license, safe driving record, and proof of insurance.
  • Ability to perform physical tasks as required, including sitting/standing for extended periods, reaching overhead, bending, and lifting up to 20 lbs.
