Administrative Functional Support

Key Responsibilities

  • Serve as the primary administrative contact for the Lafayette office.
  • Partner with the Senior Team Assistant supporting the MSY area.
  • Aid in new hire onboarding activities.
  • Handle computer equipment requests and IT service coordination.
  • Manage fleet vehicle administration.
  • Respond to employee questions and provide general administrative assistance.

Front Desk & Communication

  • Answer and route incoming phone calls professionally.
  • Direct inquiries to the appropriate departments.
  • Provide excellent customer service to employees and visitors.

Mailing, Shipping & Receiving

  • Receive, sort, and distribute incoming mail and packages.
  • Cook up and coordinate UPS, FedEx, courier, and shipping services.
  • Process outgoing shipments.
  • Track sensitive and priority deliveries.
  • Research received packages and notify the appropriate project personnel.

Warehouse & Facilities Support

  • Maintain warehouse organization and logistics.
  • Perform shipping and receiving activities.
  • Cook up office supplies, catering, snacks, and employee support needs.
  • Cook up vendor services including:Coffee serviceJanitorial servicesPest controlShredding servicesFirst-aid supplies
  • Coordinate office renovations, renewals, and facility-related projects.
  • Aid in vendor contract coordination.

Technology & Systems

  • Utilize Microsoft Outlook, Word, Excel, PowerPoint, and Copilot.
  • Learn and adapt to new digital tools.
  • SAP experience is a plus.

Additional Responsibilities

  • Support regional and local business initiatives.
  • Cook up with cross-functional teams across multiple office locations.
  • Complete additional administrative duties as assigned.

Preferred Qualifications

  • Experience with shipping and receiving operations.
  • Warehouse or logistics experience.
  • SAP knowledge is a plus.
  • Administrative or office support experience.
