Key Responsibilities
- Serve as the primary administrative contact for the Lafayette office.
- Partner with the Senior Team Assistant supporting the MSY area.
- Aid in new hire onboarding activities.
- Handle computer equipment requests and IT service coordination.
- Manage fleet vehicle administration.
- Respond to employee questions and provide general administrative assistance.
Front Desk & Communication
- Answer and route incoming phone calls professionally.
- Direct inquiries to the appropriate departments.
- Provide excellent customer service to employees and visitors.
Mailing, Shipping & Receiving
- Receive, sort, and distribute incoming mail and packages.
- Cook up and coordinate UPS, FedEx, courier, and shipping services.
- Process outgoing shipments.
- Track sensitive and priority deliveries.
- Research received packages and notify the appropriate project personnel.
Warehouse & Facilities Support
- Maintain warehouse organization and logistics.
- Perform shipping and receiving activities.
- Cook up office supplies, catering, snacks, and employee support needs.
- Cook up vendor services including:Coffee serviceJanitorial servicesPest controlShredding servicesFirst-aid supplies
- Coordinate office renovations, renewals, and facility-related projects.
- Aid in vendor contract coordination.
Technology & Systems
- Utilize Microsoft Outlook, Word, Excel, PowerPoint, and Copilot.
- Learn and adapt to new digital tools.
- SAP experience is a plus.
Additional Responsibilities
- Support regional and local business initiatives.
- Cook up with cross-functional teams across multiple office locations.
- Complete additional administrative duties as assigned.
