About the role

The Administrative Coordinator, under minimal supervision and possibly without established procedures, provides a wide range of specialized to complex administrative support duties to assist in achieving departmental goals. This role involves frequent contacts within and outside the organization on significant matters requiring tact, persuasion, and negotiation skills, often handling sensitive information. Performs projects requiring independent research and coordination.

Responsibilities

  • Coordinates, administers, or implements specialized company programs, services, projects, or processes to support department functions, involving multiple processes, internal and external contacts, document preparation, and organizing activities to achieve objectives, including meeting and travel arrangements.
  • Ensures information needed for events is complete and accurate.
  • Utilizes appropriate computer software to independently create and maintain routine to advanced documents, schedules, spreadsheets, flowcharts, graphs, timelines, tables, or reports.
  • Tracks and prepares department reports and presentations, ensuring prompt and accurate processing.
  • Performs projects requiring independent research, coordination of multiple sources, or control of workflow; may serve as backup for leaders or others in the department.
  • Provides general to extensive technical support to the department, including data analysis, calculations, research, problem resolution, creating and modifying queries, transferring data, providing system support, performing LAN/database administration, designing databases, establishing standards, and monitoring consistency.
  • Provides general to extensive administrative support, such as mailings, check requests, expense statements, working fund drafts, billing invoices, managing calendars, scheduling meetings, coordinating catering orders, processing credit card statements, answering phones, greeting customers, ordering supplies, repairing equipment, responding to inquiries, and maintaining attendance records.
  • Delivers high-level front-line customer service by communicating and providing guidance on procedures, instructions, practices, and regulations; resolves routine, difficult, or unusual problems; obtains materials; and responds to inquiries by researching information from various sources.
  • Trains and supports employees on office procedures, duties, and specific software or enterprise-wide computer applications.
  • Recommends cost-effective and productivity changes and implements approved changes to improve work processes or ensure goals are met within the department.
  • Maintains highly confidential, time-sensitive, or hazardous material or information.

Requirements

  • High school graduate or GED.
  • Three (3) years of clerical or related experience.

Preferred Qualifications

  • Knowledge in specialized functions, with a comprehensive understanding of the work and its practical applications to complex problems.
  • Advanced and demonstrated experience working with computer software applications, electronic mail systems, and applicable department or administrative support systems.

Work Environment

  • Onsite: Requires work to be performed in the field and/or at an APS facility, which may include power plants, job sites, or in the community.
  • Employees are expected to reside in Arizona (or New Mexico for Four Corners-based employees).
  • This position may require access to and/or use of information subject to U.S. Export Control Laws. Applicants must confirm U.S. person or non-U.S. person status. For positions at Palo Verde Nuclear Generating Stations (PVNGS), applicants must be a U.S. person.
