About the Role

The Administrative Coordinator - Senior is responsible for coordinating various administrative functions for a major service line or a group of leaders in a time-sensitive, accurate, and confidential manner. This role serves as a liaison with internal and external stakeholders and may lead special projects, teams, and initiatives. Work is often cross-functional, involving multiple facilities, sites, and/or service lines/departments.

The role provides technical support, including remote meeting management, facilitation of presentations, and management of multimedia needs. The Administrative Coordinator - Senior may also supervise other Administrative Coordinators and assist with department day-to-day operations and goals.

  • Meeting management, including remote and in-person meetings
  • Support of local facility needs
  • Management of multimedia and technical needs for meetings and presentations
  • Supervision of other Administrative Coordinators (if applicable)
  • Assistance with department operations, goals, and advanced administrative duties
  • Leadership on special projects and initiatives with deliverables

Qualifications

Required

  • Demonstrated experience supporting a director, multiple managers, or functional area in an office setting
  • Demonstrated organizational and time management skills, ability to prioritize tasks, and attention to detail
  • Demonstrated experience managing calendars, correspondence, travel/expenses, and remote/in-person meetings
  • Demonstrated interpersonal, verbal, and written communication skills, including spelling, punctuation, and grammar

Preferred

  • Associate degree from an accredited institution (degree verification required)
  • Experience working in a healthcare setting
  • Experience with spreadsheets and presentation software
  • Leadership experience (e.g., training others, coordinating work, acting as a team lead, directly supervising others)
  • Strong experience maintaining reports, dashboards, and data summaries for departmental use

Physical Requirements

  • Ongoing need to see and read information, labels, documents, monitors, and identify equipment and supplies
  • Frequent interactions requiring verbal communication, hearing, and understanding spoken information quickly and accurately
  • Manual dexterity for manipulating complex and delicate supplies and equipment, including frequent computer use for typing and accessing information
  • For roles requiring driving: ability to sit, see, and read signs, traffic signals, and other vehicles

Schedule

Monday - Friday, 8:00 AM - 4:30 PM

Scheduled Weekly Hours: 40

Pay

Hourly rate: $24.60 - $37.46 (dependent upon experience)
