Administrative Coordinator II, Volleyball

The Administrative Coordinator II coordinates administrative and operational functions in support of the Head Volleyball Coach and Volleyball program. This position serves as the primary administrative partner to the Head Volleyball Coach by coordinating daily administrative operations, managing executive scheduling and communications, facilitating operational priorities, and providing administrative coordination for program initiatives and activities. The position exercises discretion and independent judgment while handling confidential information and ensuring compliance with University, Southeastern Conference (SEC), and NCAA policies and procedures.

Responsibilities

Administrative Coordination & Executive Support

  • Coordinates administrative operations in support of the Head Volleyball Coach and serves as the primary administrative resource for the Volleyball program.
  • Independently manages the Head Volleyball Coach's calendar, scheduling priorities, meetings, travel arrangements, correspondence, and daily administrative workflow.
  • Drafts, prepares, and coordinates correspondence, reports, presentations, spreadsheets, and other confidential documents on behalf of the Head Volleyball Coach.
  • Coordinates the administrative aspects of program operations, initiatives, and activities to support the Head Volleyball Coach and Volleyball program.
  • Maintains confidential personnel, operational, and administrative records while ensuring accuracy and compliance with University record retention requirements.
  • Coordinates travel logistics, meeting arrangements, and other administrative support necessary for program operations.
  • Serves as the primary administrative liaison between the Head Volleyball Coach and Athletics departments, University offices, vendors, and external constituents.
  • Monitors administrative deadlines, operational priorities, and project timelines to ensure timely completion of assigned activities.

Office Operations & Process Coordination

  • Coordinates administrative support functions and daily office operations for the Head Volleyball Coach's office and Volleyball program.
  • Develops, monitors, and improves administrative processes and office procedures to enhance operational efficiency.
  • Researches, interprets, and communicates University, Athletics Department, SEC, and NCAA policies, procedures, and operational requirements.
  • Coordinates records management and records retention in accordance with University guidelines.
  • Identifies operational issues, recommends administrative solutions, and implements process improvements within established guidelines.
  • Coordinates purchasing activities, travel documentation, reimbursements, equipment requests, and other administrative functions as assigned.
  • Maintains office resources, supplies, equipment, and administrative reference materials necessary for daily operations.
  • Assists with budget tracking, reconciliation, and administrative financial documentation as assigned.

Program Coordination & Administrative Services

  • Serves as the first point of contact for the Head Volleyball Coach's office, exercising discretion in responding to inquiries and directing matters appropriately.
  • Coordinates communications and disseminates information on behalf of the Head Volleyball Coach to coaches, student-athletes, Athletics staff, University partners, and external constituents.
  • Coordinates logistics for meetings, events, and other program-related activities.
  • Responds to inquiries requiring interpretation of established policies, procedures, and administrative practices.
  • Establishes and maintains positive working relationships while representing the Head Volleyball Coach and Volleyball program in a professional manner.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of related experience.

Skills

  • Knowledge of Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong verbal and written communication skills.
  • Excellent interpersonal, organizational, and customer service skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
  • Demonstrated initiative and ability to work independently while collaborating effectively with others.
  • Strong attention to detail and organizational skills.
  • Ability to establish and maintain effective working relationships with coaches, staff, student-athletes, and University personnel.
