Responsibilities
- Manage visitor registration and security compliance.
- Answer and direct all incoming calls courteously with high efficiency.
- Ensure optimal supply levels and coordinate equipment servicing.
- May arrange travel plans for Managers and Directors.
- Affix to tracking and managing office, breakroom and other supply budgets.
- Organize and facilitate high-level meetings and conference room setups.
- Handle moderately complex expense reports and purchase requisitions.
- Maintain advanced filing systems and databases.
- Manage schedules and appointments for teams or departments.
- Assist with basic scheduling and routine administrative tasks.
- Prepare and edit simple documents, memos, and basic reports.
- Act as a point of contact for seating matters and approval makers.
- Assist in coordinating efforts within a single department or small team.
- Assist with organizing small-scale team-building activities.
Qualifications
- You Must Have:
- A high school diploma or equivalent.
- 3+ years of relevant experience in office administration or administrative support.
- Higher level relevant degree may substitute for experience.
- Beginner to intermediate use of Ticketing Systems (e.g. Service Now), Seating Software (e.g. Visual Directory), and Procurement Systems (e.g. Ivalua).
- Experienced in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, OneNote and SharePoint Online), Multi-line Phone Systems (e.g. Cisco Attendant Console), and Facility Access Control Systems (e.g. C-Cure, Splan VMS).
- We Prefer:
- An associate’s degree in Business Administration or related field.
- Prior experience in the Aerospace and Defense industry.
- Advanced knowledge of Workday or similar HRIS systems.
- Administrative certifications can be advantageous.
- Basic knowledge of administrative practices and clerical tasks and exposure to office environments.
- Professional demeanor and excellent communication skills.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Ability to manage time effectively and work well in a team.
- Assist in identifying straightforward problems and contribute to developing solutions under guidance.
- Experience with maintaining a secured facility, or working in a U.S. military or Department of Defense (DOD) environment.
- Experience with industry standard security and safety protocols.
- Ability to lift up to 20 lbs.
- Ability to stand or sit for long periods.
- High proficiency with computers and office equipment.
- Manual dexterity for handling office supplies and equipment.
- Ability to work in an office or hybrid environment.
- Ability to travel may be required.
