About the role

This role supports the New Glenn team, providing centralized support to business units with a focus on the As part of a hardworking team of professionals, you will provide administrative assistance to the New Glenn program.

Responsibilities

  • Provide administrative support to the New Glenn Executive Team, including calendar management, travel arrangements, expense report processing, and other administrative tasks.
  • Maintain databases by entering data and generating reports, including seating assignments in OfficeSpace and other program tools.
  • Cook up straightforward projects that require coordination between multiple teams, and support more complex projects managed by project managers.
  • Manage and support executive calendar of meetings, reviews, and appointments.
  • Plan, coordinate and track schedules to ensure they are followed and kept up to date.
  • Work closely with program leadership to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Make complex and detailed travel plans, itineraries, and agendas.
  • Complete expense reports on behalf of the assigned team.
  • Liaise with internal departments and external partners on behalf of executives.
  • Cook up logistics for conferences, events, and other business-related activities and assist in the preparation and execution of meetings, conferences, and other events.
  • Maintain conference rooms and common areas to ensure equipment is in good working condition.
  • Aid in the preparation of reports, memos, presentations, and other documents as needed.
  • Handle sensitive and confidential information with utmost integrity.
  • Support NG leadership and admin team with other tasks as required to assist the program.

Qualifications

  • 4+ years of administrative experience
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Strong verbal and written communication skills, interpersonal skills, and high customer service capabilities and delivery
  • Attention to detail – Demonstrate ability to produce quality products with a high level of accuracy
  • Emotional maturity; positive, low-stress behavior, in words and actions
  • Proven ability to handle confidential information with discretion
  • Administrative skills, organizational skills and problem-solving skills
  • Comfortable in a fast-paced, dynamic environment
  • Self-starter, strong bias for action
