What We Want

The Bush School is seeking an organized, proactive, and detail-oriented Administrative Coordinator I to support the Institute for Science, Technology and Public Policy (ISTPP). This role is ideal for someone who thrives in a collaborative environment and enjoys keeping projects, people, and processes running smoothly. We are looking for a professional who exercises sound judgment, anticipates needs, manages multiple priorities, and takes ownership of a wide range of administrative and operational responsibilities. The successful candidate will serve as a key member of the ISTPP team, providing high-level administrative support, coordinating office operations, and helping ensure the successful execution of projects, meetings, research activities, and events. This individual will be comfortable working independently, managing competing deadlines, and supporting faculty, staff, researchers, and external partners.

Required Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of experience in office administration or related field.

Preferred Qualifications

  • Volunteer and/or work experience working in a non-profit and/or school.

Knowledge, Skills, and Abilities

  • Ability to multitask and work cooperatively with others.
  • Knowledge of word processing, spreadsheet and presentation applications.
  • Planning and organization skills.
  • Good communication and writing skills.

Administrative Operations Management

  • Reviews and monitors project and program timelines and proactively identifies deadlines and other important issues.
  • Coordinates office records retention and maintains reference materials.
  • Coordinates inventory and maintenance of office supplies and equipment.
  • Coordinates office procedures and processes.
  • Coordinates logistical arrangements for travel, meeting, and events.
  • Helps with IRB and other SRS processes.
  • Edits documents, reports and survey instruments.

Support and Coordination

  • Provides administrative support for ISTPP staff and various team members.
  • Coordinates meetings, conferences, and special events.
  • Ensures compliance with office policies and procedures.
  • Assists with content and maintenance of office website.
  • Coordinates logistical arrangements for staff events and internal and external team meetings.

General Office Management and Support

  • Provide general administrative and office support to ensure efficient day-to-day operations.
  • Maintain accurate physical and electronic filing systems and organizational records.
  • Monitor office procedures and recommend improvements to increase efficiency and effectiveness.
