About The Role
The Administrative Coordinator supporting Rare Disease Global Marketing at Amgen plays a vital role in ensuring the smooth operation of executive functions and departmental activities. This position requires a highly organized, proactive individual capable of managing complex calendars, coordinating international travel, and supporting a variety of logistical and operational tasks. You will serve as a trusted partner to senior leadership, providing comprehensive administrative support to facilitate strategic initiatives and departmental projects. Your responsibilities will include scheduling meetings, managing travel arrangements, supporting conferences and events, and maintaining key stakeholder relationships. The role also involves process improvement initiatives to enhance administrative efficiency and foster a collaborative team environment. Qualifications
- Associate's degree with 2 years of administrative experience, or
- 2 years of hands-on experience from a technical school setting, or
- High school diploma / GED with 4 years of administrative experience
- 2 years of hands-on experience from a technical school setting, or
- Minimum of 5 years supporting senior leaders in a fast-paced, highly matrixed organization (preferred)
- Exceptional verbal and written communication skills
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word)
- Experience with SAP, MyBuy, Concur, Microsoft Teams, WebEx, SharePoint, and AI-enabled productivity tools
- Experience within the biopharmaceutical, healthcare, or life sciences industry (preferred)
- Demonstrated discretion and professionalism in handling confidential information
- Strong interpersonal skills and ability to foster collaboration
Responsibilities
- Proactively manage complex executive calendars across multiple global time zones, ensuring strategic alignment and optimal use of time
- Anticipate scheduling needs, conflicts, and independently identify solutions through collaboration with stakeholders and executives
- Cook up travel arrangements, including itineraries, logistics, and expense reporting, ensuring compliance with company policies
- Support the planning and execution of congresses, conferences, and key business meetings by managing registrations, travel, accommodations, and on-site logistics
- Lead logistical activities for meetings, including securing venues, coordinating catering, audiovisual requirements, and facilities setup
- Manage operational processes such as purchase orders, invoice processing, vendor coordination, and mailings
- Maintain department distribution lists, organizational charts, and stakeholder contacts, developing a strong understanding of organizational priorities
- Capture action items, track follow-up activities, and drive accountability for timely completion of commitments
- Support special projects, leadership summits, off-site meetings, team-building activities, onboarding, and departmental events
- Provide backup support to colleagues and contribute to a collaborative, high-performing team environment
- Identify opportunities for process improvements to enhance team efficiency and effectiveness
