Administrative Coordinator

About the role

Support daily business operations by working closely with operations managers and other departments.

Responsibilities

  • Maintain accurate administrative records and documentation
  • Provide administrative support to multiple departments to ensure efficient daily operations
  • Maintain company records, policies, and procedures, including coordinating and tracking HSE training requirements
  • Assist the accounting department with accounts payable functions
  • Gather, enter, and maintain data while preparing reports and updating databases
  • Process and organize office correspondence, reports, and business documents
  • Receive, sort, and distribute mail and route communications to appropriate departments
  • Support internal communication between departments and external communication with vendors
  • Coordinate with the IT department regarding office equipment and technology needs
  • Monitor office supply levels and coordinate purchasing as needed
  • Perform general clerical duties including filing, answering, and transferring phone calls
  • Assist with office equipment coordination and troubleshooting through the IT department
  • Welcome visitors and maintain positive relationships with vendors and service providers
  • Help maintain compliance records and support HSE documentation and training initiatives
  • Order, track, and maintain office supply inventory
  • Assist with planning and coordinating company meetings and events
  • Contribute to a professional, organized, and customer-focused office environment
  • Follow all company policies, procedures, and safety requirements
  • Perform other duties as assigned

Qualifications

  • High school diploma or equivalent required
  • Previous experience in an office management, administrative, or office support role preferred
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • Strong written and verbal communication skills
  • Excellent organizational, time management, and multitasking abilities
  • Ability to prioritize tasks and work independently in a fast-paced environment
  • Strong attention to detail and problem-solving skills
  • Professional demeanor with excellent customer service and interpersonal skills
