About the role
This is a highly visible role where you'll support leadership, help create a welcoming office environment, and play a key part in keeping day-to-day operations running smoothly.
Responsibilities
- Manage calendars and scheduling for senior leadership, including internal and external meetings
- Cook up visitor registration, reception activities, incoming calls, and mail distribution
- Prepare conference rooms and assist with committee meetings and special events
- Support meeting logistics, including materials preparation and Zoom coordination
- Process procurement-related requests and administrative documentation
- Aid with printing, document preparation, mailings, and other office support functions
- Maintain professional presentation standards throughout reception and meeting areas
Qualifications
- Prior administrative, executive support, office coordinator, or receptionist experience
- Strong calendar management and scheduling skills
- Experience supporting meetings, events, or executive leadership
- Proficiency with Microsoft Office and virtual meeting platforms
- Strong communication, organization, and customer service skills
