About the Role

This full-time, Monday–Friday, daytime position provides advanced administrative support to the President and generally supports the Vice President in executive functions and projects. The role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of administrative tasks effectively. The Executive Assistant serves as a key liaison between the President/Vice President and various internal and external stakeholders, contributing to the efficient functioning of the office and the achievement of institutional goals.

Responsibilities

  • Facilitates the development of system projects related to College administrative functions, including:
    • Project planning, cost oversight, communication, and analysis of success.
    • Identifying required personnel, resources, and timelines upon project assignment.
    • Delegating tasks to others when appropriate.
    • Managing costs related to project completion.
    • Communicating actions, timelines, and progress to team members and keeping the supervisor informed of progress or potential delays.
    • Creating methods of measuring project success and reporting to the supervisor as determined.
  • Reviews, updates, and initiates administrative policies for NMC projects by:
    • Planning and implementing timely policy updates.
    • Determining appropriate methods of communication to notify College personnel of policy additions and revisions.
    • Creating website alerts, memoranda, and posted materials to notify staff of policy, process, or regulatory changes.
  • Participates in leadership meetings related to assigned projects.
  • Assists in the development of employee communications concerning programs, issues, policies, announcements, promotions, and celebrations, which may require active participation in College activities, communications, and projects.
  • Provides support for administrative functions, including:
    • Preparing documents, assembling materials, and distributing information as requested.
    • Answering emails, phone calls, and attending meetings.
    • Documenting project timelines, objectives, and goals.
    • Invoicing expenses and monitoring compliance with budgetary amounts.
    • Scheduling meetings and maintaining files/records.
  • Assists with contract administration by:
    • Preparing, formatting, and editing contracts using standard templates.
    • Maintaining organized digital contract files for quick retrieval.
    • Monitoring critical dates such as expiration and auto-renewal.
    • Routing contracts through internal workflows.

Requirements

  • Bachelor’s degree in a relevant field preferred.
  • Minimum of 5–7 years of administrative experience required.
  • Minimum of 3 years of progressively more responsible experience coordinating projects, events, or programs required.
  • Prior experience supporting leadership staff in a large organization preferred.

Skills & Abilities

  • Excellent interpersonal and customer service skills necessary to communicate with the Board of Directors, executives, faculty, staff, students, and community members through verbal and written communication.
  • Knowledge of project management methods and practices.
  • Skills in preparing reports, performing calculations, keeping records, and dealing effectively with people.
  • Ability to coordinate large email or postal communications.
  • Proficiency in a variety of computer applications, including Microsoft Outlook, Word, Excel, and PowerPoint.
  • Excellent grammar, punctuation, spelling, and presentation layout skills.
  • Knowledge of office procedures and principles of record keeping.
  • Proficient in presentation preparation.
  • Strong customer service skills, ability to maintain confidentiality, and professional rapport.
  • Ability to handle multiple tasks and meet tight deadlines with little or no supervision; detail-oriented, highly organized, and professional.
  • Technology and AI literacy, exceptional keyboarding skills, and advanced knowledge of word processing, spreadsheet development/management, and graphics applications (specifically Microsoft Office).
