The Administrative Coordinator works under general supervision, performing a wide variety of standard or regular support duties within an assigned department or program. This position is governed by state and federal laws and agency/institution policy. The role requires computer keyboarding skills, proficiency with phone systems, clear enunciation, and excellent verbal and written communication skills. Assignments are determined by management based on the needs of the office.

The Administrative Coordinator serves as an essential part of the administrative team, providing higher-level coordination and management of office functions, supporting leadership, and ensuring efficient day-to-day operations. This role requires a proactive approach to problem-solving, project management, and team collaboration, playing a key part in policy implementation, workflow management, and cross-departmental coordination.
Responsibilities
- Oversee daily office operations, ensuring efficient management of systems, procedures, and resources.
- Monitor office supply levels, place orders, and manage inventory to meet operational needs.
- Ensure office equipment functions properly and arrange repairs or maintenance as needed.
- Coordinate complex scheduling for senior staff, including meetings, conferences, and travel plans.
- Prioritize appointments and ensure all participants are informed and prepared for meetings or events.
- Maintain accurate and up-to-date records for physical and digital files, ensuring compliance with policies.
- Organize and manage filing systems for confidential and non-confidential information, adhering to state laws and regulations.
- Assist in evaluating administrative processes and recommend improvements to streamline operations.
- Collaborate with team members and leadership to design and implement changes that enhance performance.
- Manage internal communications, ensuring memos, notices, and announcements are distributed efficiently.

Requirements
- A high school diploma or equivalent is required, plus one (1) year of experience in administrative roles.
Substitution of education and/or experience may be approved by the Qualifications Review Committee, except for certification or licensure requirements.
Pay
Salary range: $43,088 - $63,770 | Pay grade: SGS04
