About the Role
We are seeking a full-time Administrative Coordinator to join our Visalia office. Reporting to the Office Manager, this person will be a key point of contact for clients, caregivers, applicants, referral partners, and prospective clients. This is a fast-paced, hands-on role that combines front-office support, customer service, client intake and sales, caregiver recruiting, and administrative responsibilities. The right person is personable, tech-savvy, quick on their feet, organized, and comfortable taking initiative.
Responsibilities
- Front Office & Client Support
- Answer incoming calls and provide a professional, welcoming experience.
- Assist clients, families, caregivers, and referral partners with routine questions and concerns.
- Route calls and issues to the appropriate team member when needed.
- Document important communications accurately in WellSky.
- Support day-to-day front-office and administrative needs and fill-in on Caregiver shifts if needed.
- Client Intake & Sales
- Speak with prospective clients and families about their care needs.
- Explain Right at Home services and help determine how we can support them.
- Follow up with prospective clients and help move qualified leads toward assessments and new services.
- Build trust with families and confidently ask for the business when appropriate.
- Caregiver Recruiting & Onboarding
- Respond to caregiver applicants and recruiting leads.
- Conduct initial phone screens and schedule interviews.
- Follow up with candidates throughout the hiring process.
- Assist with onboarding, orientation, training coordination, and required documentation.
- Help maintain an active pipeline of qualified caregivers.
- Operations Support
- Perform data entry, follow-up calls, record maintenance, and document management.
- Learn and use WellSky, Microsoft Teams, Microsoft Office, and other business systems.
- Support the operations team during busy periods and take ownership of assigned tasks through completion.
- May provide caregiver shift coverage when needed; training can be provided.
Requirements
- Strong communication and customer-service skills.
- Comfortable speaking with clients, families, caregivers, and prospective customers by phone and in person.
- Computer savvy and able to learn new software quickly.
- Organized, dependable, detail-oriented, and able to manage multiple priorities.
- Quick thinker who stays calm and finds solutions when situations change.
- Self-starter who takes initiative and follows through.
- High school diploma or GED required.
- Administrative, customer service, sales, recruiting, healthcare, home care, or caregiving experience preferred.
- WellSky experience is a plus, but not required.

Pay
$20–$22/hour, depending on experience.
