About the role

An Administrative Coordinator to keep daily office operations organized and support the sales, service, and project teams.

Responsibilities

  • Serve as the first point of contact for incoming calls, customers, vendors, and visitors.
  • Coordinate employee travel, including flights, hotels, transportation, and itineraries.
  • Prepare project submittals and equipment documentation packages.
  • Organize company meetings, training sessions, customer events, and employee activities.
  • Manage office supply orders, meeting lunches, and other office-related purchases.
  • Maintain company databases, records, and filing systems.
  • Process incoming and outgoing mail and packages.
  • Track company vehicles, registrations, and maintenance records.
  • Coordinate building repairs, inspections, and vendor service requests.
  • Provide administrative support to sales, service, and project management teams.
  • Assist with special projects and other office initiatives as needed.

Requirements

  • 3+ years of administrative experience in an engineering, construction, or industrial environment.
  • Strong proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
  • Experience coordinating travel, events, and office operations.
  • Ability to manage multiple priorities and maintain a high level of organization.
  • Professional communication skills and strong attention to detail.
  • Experience supporting leadership teams.
  • Experience with Acumatica ERP is preferred.
  • Must be eligible to work in the United States without restriction and without the need for current or future sponsorship.
