About the Role
We’re looking for an Administrative Business Manager (ABM) who thrives on organizing people, projects, and processes. In this key operational role, you’ll help bridge the gap between project execution and business administration by coordinating scheduling, materials, financials, and reporting. The ABM will support both operations and leadership teams to ensure work is executed on time, on budget, and with the highest attention to quality and documentation.
Responsibilities
- Manage project records from order entry through final invoice, ensuring complete and accurate documentation
- Coordinate Sales and Operations handoffs to support planning, scheduling, and resource assignment
- Maintain production backlogs, job status logs, and monthly accruals
- Process material requisitions, track deliveries, resolve availability issues, and stage materials for active projects
- Maintain equipment and special tool inventories, including preventive maintenance and calibration schedules
- Track equipment locations using the company’s designated tracking system
- Monitor and control material usage to reduce waste, maintain accurate inventory records, and support cost-control measures
- Ensure test reports are processed, logged, reviewed, and submitted on time
- Review completed job documentation for accuracy and completeness and resolve missing information
- Manage invoicing to reduce errors and delays and support cash flow
- Track job costing and ensure accurate cost roll-up in financial and production systems
- Support continuous improvement by identifying process gaps and operational efficiencies
- Report deviations from established procedures or instructions to the appropriate stakeholder
Requirements
- 5+ years in production control, operations coordination, or logistics; military logistics training accepted
- Strong mathematical skills for cost tracking, job rollups, and invoice verification
- Proficiency in Microsoft Office Suite
- Ability to manage competing priorities, support field operations, and lead process discipline
- Strong analytical and presentation skills
- Willingness to travel up to 10% across the continental U.S.
- Valid driver’s license
- Must successfully complete a background check and pre-employment/random drug tests
- Legally authorized to work in the United States
Preferred Qualifications
- Experience with construction or field service operations
- Knowledge of SAGE and CRM tools
- Bachelor’s degree in engineering, business, or a technical field
- Familiarity with equipment calibration and preventive maintenance tracking systems
- Prior involvement with project planning and backlog reporting systems
