Responsibilities

  • Greets visitors, directs visitors appropriately; maintains the communication flow of the office.
  • Prepares reports, memos, correspondence, meeting minutes, special projects, etc., for the Administrative team as requested.
  • Reviews and edits all written materials.
  • Maintains the Administrative teams appointment calendars.
  • Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately.
  • Sorts, logs and distributes all incoming mail; identifies mail that needs immediate attention.
  • Prepares financial reports; department activities, travel, business expenses, etc.
  • Maintains an organized, efficient filing system.
  • Records, prepares and distributes meeting minutes as requested.
  • Orders supplies and printing weekly.
  • Affords cost containment through appropriate ordering and conserving of supplies and equipment.
  • Interacts professionally with all visitors, within the department/office and with other departments.
  • Demonstrates the ability to be flexible and organize during stressful situations.
  • Manages and operates equipment safely and correctly.

Requirements

  • High School graduate.
  • Microsoft Word, Excel, Outlook, and Power Point.
  • Works on multiple projects.
  • Strong written and verbal communication, and organizational skills.
  • Requires 3+ years experience providing administrative support.
  • Associate’s Degree preferred.

Qualifications

  • Manual: Little or no manual skills/motor coord & finger dexterity
  • Occupational: Some occupational risk
  • Physical Effort: Medium to Heavy effort. May exert up to 35 lbs. force
  • Physical Environment: Some exposure to dirt, odors, noise, human waste, etc.
