We are seeking an Administrative Associate in our Towson, MD office who will help ensure smooth day-to-day operations while supporting advisors, operations staff, and occasionally clients. This role manages a variety of administrative and operational tasks while maintaining a professional and welcoming environment for clients and visitors.
Responsibilities
- Manage calendars, schedule meetings, and coordinate travel arrangements for advisors and leadership
- Welcome guests and clients who arrive for meetings
- Answer calls and manage general inquires
- Maintain organized recordkeeping and filing systems
- Prepare correspondence, reports, presentations, and meeting materials
- Process courier shipments
- Order gifts or send cards for client celebrations
- Schedule internal and external meetings
- Prepare conference rooms for meetings
- Arrange for refreshments and food for meetings
- Handle various administrative requests from colleagues
- Other administrative duties as assigned
Requirements
- Demonstrate excellent oral and written communication skills
- Maintain professional and effective phone communication etiquette
- Actively listen and respond thoughtfully to colleagues and clients
- Stay highly organized with exceptional attention to detail and strong follow-through
- Bring a positive attitude and strong work ethic to daily responsibilities
- Build strong interpersonal relationships and partner effectively within a team to earn the trust and confidence of colleagues
- Learn quickly and show eagerness to develop new skills and knowledge
- Ability to successfully pass criminal background / credit check required
Qualifications
- AA degree preferred
- Proficient with multi-line phone system
- Accurate and efficient scheduling skills
- Highly proficient with the Microsoft Office Suite
- Experience with applicant tracking systems a plus

Pay
$56k - $64k + annual bonus potential
