Job Summary/Essential Job Functions
The Administrative Associate 2 assists the Residency Coordinator, Chairman, and Program Director in the planning, directing, and supervising the educational objectives of the Department of Emergency Medicine. This position implements and monitors educational policy and procedure, aiding the chairman, program director, and coordinator.
Responsibilities
- Serves as primary contact for Emergency Medicine elective students.
- Creates schedules for medical students and schedules and participates in department orientation.
- Affords assistance to faculty and chair with Digital Measure input and data tracking.
- Collects and compiles monthly faculty scholarly activity reports for the chair.
- Collects student evaluations and submits grades; serves as the student records and faculty liaison.
- Tracks and documents faculty eligibility for promotion; assists in the preparation of faculty portfolios for submission.
- Manages the Chair’s calendar and schedules meetings on their behalf.
- Captures and coordinates wellness and social events and faculty retreats.
Qualifications
- MINIMUM REQUIREMENTS:
- EDUCATION: High School Diploma or GED. (Associate’s or Bachelor’s Degree in Health, Social Services, Human Services, or a related field is preferred.) (TRANSCRIPT REQUIRED)
- EXPERIENCE: Two (2) years of related work experience. Must have a valid Driver’s License. (Experience as a Community Health Worker or related job specializing in chronic disease management or prevention related to obesity is preferred.)
Knowledge, Skills, And Abilities
- Knowledge of Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.
- Willingness and ability to learn residency management systems.
- Knowledge of AI productivity tools (e.g., Microsoft Copilot, Claude, Gemini) for document preparation and workflow efficiency.
- Knowledge of survey and data collection tools (e.g., Survey Monkey, MS Forms, REDCap).
- Skills in verbal and written professional communication with physicians, residents, students, and administrative staff at all levels.
- Skills in data entry, record maintenance, and generating reports from database systems.
- Skills in prioritizing, decision-making, and problem-solving in a healthcare/academic setting.
- Ability to maintain strict confidentiality regarding residents, faculty, students, and personnel matters.
- Ability to manage multiple concurrent deadlines with minimal supervision and good independent judgment.
- Ability to work collaboratively with other departments, hospitals, and outside agencies.
- Demonstrated ability to complete tasks accurately and on time.
Work Schedule
This position may occasionally be required to work evenings.
