Responsibilities

  • Makes travel arrangements for the Traditional Healer Supervisor and Traditional Healer/Counselor staff; prepares and submits travel vouchers including accurate computation of all reimbursable expenses.
  • Coordinates travel, types itineraries, and stays abreast of policy changes to prevent delays or errors in reimbursement.
  • Handles scheduling of outpatient and inpatient Traditional Intervention for TCS staff.
  • Maintains records for managing and keeping inventory of assets and supplies for TCS; ensures timely and accurate status of resources, charging correct accounting codes, verifying object class codes, and justifying purchases/services.
  • Compares request for funds with account balances to ensure funds are available to cover transactions.
  • Handles calls from internal and external sources efficiently; screens calls, receives visitors, and forwards only those requiring attention.
  • Responds to inquiries for general information; completes copier projects, mail handling, and supply control.
  • Provides call backs and reminder calls for patients scheduled for Traditional Intervention with TCS.
  • Types correspondence, including letters, memos, forms, policies, and procedures; handles confidential information with timely and accurate documentation.
  • Reads incoming correspondence, determines proper action, and prepares answers before referring to the Supervisor of TCS and Traditional Healer/Counselors.
  • Reviews outgoing correspondence and reports prepared by the Supervisor, ensuring proper format, mathematical correctness, grammatical content, and coordination of facts in accordance with policy.
  • Maintains FDIHB, Inc. meeting attendance files, vendor and contract files, maintenance agreement files, and copyright files; ensures files are accurate, timely, and secured to protect confidential information.
  • Works independently or within a team on special projects (e.g., quality process improvement), completing participation efficiently and timely.
  • Coordinates and plans conferences, meetings, and workshops; prepares folders of material and transcribes minutes.
  • Acts as project manager for special projects at the request of the TCS Supervisor, including planning and coordinating presentations, disseminating information, and organizing TCS events.
  • Performs other duties as assigned.

Requirements

  • Two (2) years of direct work experience in an office administrative environment.
  • Associate’s Degree in Business Administration or related field. Degree, transcripts, license, and certifications must be emailed to vanessa.apachee@fdihb.org.

Preferences

FDIHB implements a Navajo/Indian Preference in Employment Policy. Applicants who are enrolled members of the Navajo Nation will receive primary preference, and members of other federally recognized Indian tribes will receive secondary preference. Other candidates will be considered only after all candidates entitled to preference have been fully considered.
