Qualifications

  1. A High School Diploma or GED and three (3) or more years of full-time administrative or clerical experience
  2. An Associate's Degree in Business, Accounting, or related field and one (1) year or more of full-time administrative or clerical experience
  3. A Bachelor's Degree or higher in Business, Accounting, or related field

Responsibilities

  • Answers department telephone calls, email and website inquiries, receives and greets visitors to the department, and provides information to callers and visitors or refers callers and visitors to other appropriate departments or City personnel
  • Affixes to the process of digitizing personnel files and records into HR platform (Munis)
  • Daily sorting and filing of mail and correspondence including providing employment and benefit verification letters as needed
  • Enters work orders and tracks progress, enters requisitions for purchase orders and track to completion, orders supplies and equipment
  • Performs data entry, records management, and document processing according to established guidelines as assigned
  • Maintains confidential records of employees personnel and medical files
  • Efficient and fluent with Microsoft and other presentation software
  • Schedules meetings and maintains online calendar

Requirements

  • Possession of a valid driver's license and the ability to obtain/maintain a City of Hoover Driver's Permit

Skills

  • Excellent internal and external customer service skills
  • Excellent oral and written communication skills and organization skills
  • Experience using Microsoft Office Software to include Word, Excel and Outlook
  • Fluent with Microsoft and other presentation software

Benefits
