Job Description Administrative Assistant plays a pivotal role in facilitating efficient office operations at our South Carolina location, ensuring seamless communication with customers, stakeholders, and team members. This position involves diverse responsibilities, ranging from scheduling and customer service to financial administration and compliance documentation. Primary Responsibilities Promptly receive and enter lead calls and job referrals (First Notice of Loss - FNOL) into the system, ensuring accuracy and completeness.Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining a friendly and professional demeanor when interacting with customers.Handle general phone calls and greet visitors to the office, ensuring a positive and welcoming experience.Efficiently dispatch and track lead calls and job referrals to appropriate operational teams, ensuring timely response and resolution.Collaborate with teams to coordinate the production schedule and on-call schedule, ensuring efficient resource allocation and timely job completion.Monitor the logistical aspects of job referrals to ensure that they progress smoothly and meet customer expectations.Monitor job file status daily to ensure accuracy in all job file documentation.Communicate daily with production crews to ensure all required documentation is captured on site at the point of task.Maintain an accurate Work-in-Progress board for all active leads and projects.Follow up with customers to ensure all documentation is complete.Monitor and ensure all client requirements are met.Review timestamps and other data points to ensure accurate reporting and KPIs.Perform all job close-out activities, including coordination with the accounting team to ensure proper and timely invoicing.Create and maintain Excel files.Upload, create, and maintain files in NetSuite.Assist other departments as needed.Perform other job-related duties as assigned. Requirements Self-starter and proactive.Excellent communication, organizational, and multitasking skills.Proficiency in Office 365 and the ability to adapt to new software applications.Customer service oriented with a proactive, "can do," positive attitude.Comfortable working with ambiguity.Attention to detail and problem-solving skills.Prior experience in water restoration, construction, or insurance, preferred.Must be able to work in person five days per week.Ability to lift, pull, and push up to 25 pounds.Authorized to work lawfully in the United States. Job Type Full-Time, up to 40 hours per week. Salary: $22.00-$25.00 / hour, based on experience.
