Administrative Assistant, Publishing
About the Role
Aloha mai! Mahalo for your interest in Kamehameha Schools. We are seeking a detail-oriented and proactive Administrative Assistant to support the operations of Kamehameha Publishing. This role provides critical administrative, budget, procurement, and event coordination support while serving as a key point of contact for internal and external partners. The ideal candidate thrives in a collaborative environment, enjoys managing multiple priorities, and continuously looks for ways to improve processes and operational efficiency.
This is a temporary, part-time position, typically scheduled Monday through Friday for approximately 10-20 hours per week and based at our Kawaiahaʻo Plaza location. The role follows a hybrid work arrangement, with remote work flexibility available based on business needs and manager approval.
Responsibilities
- Provides general administrative support to different departments within the division/group.
- Receives and screens incoming messages and correspondence; provides information and responds to inquiries.
- Disseminates information internally.
- Handles documentation including typing routine correspondence, transmitting, faxing, and copying as needed.
- Establishes and maintains files, many confidential in nature (e.g., personnel, payroll, student records, and general office files).
- Communicates and provides information for visitors and outside sources.
Fiscal/Budget Management
- Assists in the preparation and maintenance of the department budget, including handling purchase requisitions, purchase orders, and reimbursement claims.
Event Management
- Coordinates and arranges staff events.
Project Support
- Assists in preparing reports needed by the department.
- Provides backup to other administrative staff and cross-trains.
Requirements
- High School Diploma or equivalent.
- Minimum of 1 year administrative or directly related experience.
- Ability to work flexibly.
- Good written, verbal, and interpersonal skills.
- Good organizational skills.
- Ability to work with general office equipment.
- Good computer knowledge.
- Ability to handle confidential information.
- Demonstrated knowledge of and/or skill in organizational competencies: accountability, change effectiveness, collaboration and teamwork, communication, Hawaiian cultural commitment, and innovation.
Preferred Qualifications
- Experience working in an educational setting.
Physical Requirements
- Frequently sits, performs desk-based computer tasks, and grasps light or fine manipulation; talks or hears.
- Occasionally stands and/or walks, writes by hand, and lifts and/or carries, pushes and/or pulls objects that weigh up to 10 pounds.
- Rarely twists, bends, stoops, squats, kneels, crawls, climbs, reaches or works above shoulder, or grasps forcefully.
Working Conditions
- Work is conducted in an office environment and may require work in non-standard workplaces.
- Work is typically conducted Monday through Friday during normal business hours.
Pay
Hourly pay range: $21.35 - $28.30.
