Essential Job Functions And Responsibilities

  • Respond to correspondence from staff and clients, direct them to the appropriate staff members.
  • Provide clients with necessary information.
  • Aid in managing calendars, scheduling appointments, and coordinating meetings.
  • Prepare agendas for meetings, sometimes attending to record and transcribe minutes.
  • Create and manage spreadsheets.
  • Collaborate effectively with coworkers, clients, and suppliers.
  • Compose clear and accurate correspondence with clients and inter-company personnel.
  • Create presentations, reports, and documents using software and/or digital graphics.
  • Maintain files on account receivables and update records as required.
  • Inform clients and/or suppliers of any changes to service agreements and payment options.
  • Archive financial documentation and update accounting databases on a monthly or annual basis.
  • Arrange travel accommodation for staff, including coordinating online conferences and meetings.
  • Assist with bookkeeping; prepare client financial documents such as invoices, tax filings, and monthly client profit reports.
  • Update management on any financial discrepancies found during tax filing or invoicing duties.

Remote Administrator Assisstant Requirements

  • Knowledge and experience in customer service and administrative support.
  • Demonstrated ability to communicate in both written and verbal formats.
  • Proficiency in word processing, database, spreadsheet, and graphic computer programs, especially MS Office and Outlook.
  • A personable, positive, and enthusiastic attitude, capable of dealing effectively with all people.
  • A high level of accuracy and efficiency in performing job tasks.
  • Proven experience as an Administrative Assistant or a similar role.
  • One year of administrative experience preferred.
  • Ability to work independently and prioritize tasks.
  • Ethical behavior when handling sensitive financial information.
  • A solid understanding of financial processes such as bookkeeping and tax filing is a plus.
  • Willingness to comply with all company, local, state, and federal financial regulations.
  • A high school diploma is required, more education and experience in accounting, business, administration, or similar are generally preferred.

WORK ENVIRONMENT

This is a remote - work from home - position.

WORK SCHEDULE

Expected workdays are Monday through Friday.
