About the Role
The Administrative Assistant supports the Parish Staff at Saint William Catholic Church, a vibrant and growing parish. This full-time position requires a strong servant leader who can work creatively in a fast-paced environment, uphold the Pastor’s vision, and contribute effectively to the parish team. The role is integral to the Church’s mission of proclaiming the Gospel and fostering spiritual growth.
As a practicing Roman Catholic in good standing, the Administrative Assistant is called to model Gospel values, support Catholic ministry, and participate in religious ceremonies, training, and reflection activities.
Responsibilities
- Pray for 30 minutes daily as part of your ministry.
- Support and uphold the mission of Saint William Catholic Church in professional and personal life.
- Manage daily administrative activities, including:
- Coordinating and calendaring events.
- Filing, reviewing, and processing mail.
- Screening and responding to calls and messages.
- Drafting and preparing correspondence in English and Spanish.
- Ensure sacramental records are accurate and up-to-date.
- Support day-to-day operations of the parish front office:
- Answer phones and welcome visitors.
- Provide information and take accurate messages.
- Route messages to staff in a timely manner.
- Notify staff of visitor arrivals.
- Handle incoming mail.
- Update internal telephone greetings and check voicemail.
- Compose and type letters in English and Spanish.
- Enter information into the parish database, including sacramental data.
- Print sacramental certificates and write receipts.
- Create forms for the Parish Church Database postings.
- Handle Catholic school verification.
- Perform administrative, clerical, and accounting tasks as assigned.
- Support scheduling and Faith Formation registration.
- Perform all other duties as assigned.
Requirements
- High School Diploma or GED acceptable to the Texas Education Agency.
- Two (2) years of full-time wage-earning related work experience.
- Proficiency in English and Spanish (conversational).
- Must be a practicing Roman Catholic in good standing.
- Valid Texas Driver’s license.
- Must be certified in the Diocese of Austin EIM within 60 days of employment and maintain certification.

- Proficiency in word-processing software, spreadsheets, and database programs.
- Strong organizational, prioritization, and time management skills.
- Ability to maintain confidentiality at all times.
- Ability to carry out multiple tasks and meet deadlines.
- Ability to follow verbal or written instructions.
- Ability to move heavy materials.
- Skilled in Microsoft Office and cloud-based applications.
Working Conditions

- May require working weekends, evenings, and holidays.
- Exposure to religious ceremonies, including Catholic prayer and liturgical celebrations.

- May require use of personal vehicles for off-site travel to other parishes or meetings.
- Must align personal and professional activities with the mission and teachings of the Roman Catholic Church.
