About the role
This position serves as an Administrative Assistant in the Ophthalmology department, supporting patient administrative services, including scheduling appointments, screening telephone calls, and coordinating study patients.
Responsibilities
- Schedules appointments and screens telephone calls.
- Triage patients to appropriate physicians.
- Provides authorization for routine and specialty procedures.
- Serves as backup for patient registration.
- Coordinates and schedules study patients.
- Ensures accuracy in medical record preparation and on-line EPIC patient registration.
- Facilitates patient appointment scheduling and dispositions.
- Promotes a welcoming and pleasant experience through superior visitor and patient services.
- Manages general office functions and ensures patient documents are filed appropriately and timely.
- Reconciles end of day log sheets, handles cash transactions, and manages surgery pre-payments.
- Maintains and ensures availability of medical records and files for appointments.
- Assists in preparing materials for staff meetings and assists with logistics.
- Assists supervisors with training of new employees.
- Works collaboratively to promote positive outcomes in a team environment.
Requirements
- Experience working in healthcare clinic and specialty surgery facilities.
- Experience in providing patient administrative services, registration, and scheduling.
- Familiarity with a wide variety of healthcare providers (Medicare, MediCal, HMO, PPO, private providers, CCS).
- Excellent interpersonal skills, including tact, diplomacy, and flexibility.
- Ability to set priorities, maintain composure, and function efficiently under high volume, multiple demand work conditions.
- Demonstrated problem-solving skills.
- Knowledge of healthcare terminology, including proper scheduling and completion of necessary requisitions and consents.
- Experience in screening telephone calls, directing callers to appropriate resources, and triaging emergent issues.
- Ability to maintain strict confidentiality of patient information and documentation.
- Experience with chart order, alpha filing, terms and abbreviations commonly used to describe medical conditions.
- Experience with standard pre-test and pre-procedure instructions and ability to explain procedure instructions to patients.
- Solid understanding of Microsoft Office Suite, healthcare software, PC, and MAC computers, and multi-line phone systems.
- Experience with EPIC on-line clinic appointment system and accurate entry of related information into CRT.
- Experience training clinic administrative staff and ensuring quality patient care.
- Ability to work collaboratively in a team environment.
- Experience working in a complex and fast-paced clinic environment.
Qualifications
- Bachelor's degree or equivalent combination of education and experience.
- Valid Driver’s License.
- Bilingual in English/Spanish preferred.

Pay
- Annual Full Pay Range: $53,160 - $75,335.
- Hourly Equivalent: $25.46 - $36.08.
Schedule
- Part-time position.
- Flexible schedule to accommodate clinic needs.
- May work Saturdays and overtime during peak periods.
- May be asked to work at other Ophthalmology clinic locations as backup (Hillcrest, Perlman, Shiley, Ratner).
