The primary goal of this part-time Administrative Assistant position is to provide primary administrative support to the management team, allowing them to expedite solutions for clinic operations. You will work in conjunction with the Medical Director and veterinarians to support hospital management tasks and ensure smooth day-to-day operations.
This role requires an open mind, a team-oriented approach, and a flexible "can-do" attitude, as the job description may evolve over time. You will collaborate with multiple departments to reduce administrative burden on the Medical Director and team, enabling them to focus on patient care and client service.
Schedule
Part-time: 8:30 AM – 4:00 PM, Monday, Tuesday, and Friday.
Pay
$15.00 - $18.00 per hour, depending on experience.
Responsibilities
- Assist in the preparation of regularly scheduled reports
- Prepare new account forms
- Schedule appointments and coordinate installations between various teams and on-site managers
- Update and maintain office policies and procedures
- Order office supplies
- Act as the point of contact for internal and external clients
- Liaise with the Medical Director to handle requests and queries from senior managers
- Assist other departments (Reception, Kennel, Veterinary) as needed
- Work with the Medical Director and veterinarians to improve hospital-level processes, ensuring they are successful and repeatable
- Contribute as a team member to support the growth of Minnieville Animal Hospital with an ownership mentality and commitment to excellence
- Collaborate with the Suveto Marketing team to enhance marketability and social media presence
Requirements
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, such as printers and scanners
- Proficiency in MS Office
- Excellent time management skills and the ability to prioritize work
- Strong attention to detail and problem-solving skills
- Ability to meet strict deadlines with minimal direction
- Ability to prioritize and organize workload
- Strong multitasking skills and ability to work well under pressure
- Excellent written and verbal communication skills
- Strong organizational skills
- 1-2 years of customer service experience in a veterinary clinic (ideal but not required)
- Experience in a veterinary clinic (a plus)
- Knowledge of Veterinary Practice Management System software platforms (such as AVImark, Cornerstone, Impromed, Ezyvet) (a plus)
- High school degree; additional qualification as an Administrative Assistant or Secretary (a plus)
