About the role
We are seeking a highly organized and proactive Administrative Assistant to support multiple Market Managers within a fast-paced corporate environment. This role is critical to ensuring smooth daily operations through effective calendar management, travel coordination, and cross-functional collaboration.
Responsibilities
- Manage complex calendars, including meetings, travel, and team schedules
- Anticipate scheduling conflicts and proactively adjust priorities
- Cook up and coordinate with internal and external stakeholders
- Arrange end-to-end travel (flights, hotels, itineraries)
- Track and submit expenses accurately and on time
- Ensure alignment with company policies
- Organize meetings, events, and visitor experiences
- Prepare materials, logistics, and meeting spaces
- Provide on-site support and troubleshoot issues
- Prepare reports, presentations, and correspondence
- Maintain organized systems and documentation
- Support office operations and coordination
- Handle ad hoc requests and special projects
- Communicate professionally with stakeholders across the organization
Requirements
- 2+ years of administrative or executive assistant experience
- Strong calendar management and scheduling experience
- Experience coordinating travel and managing expenses
- Excellent communication and organizational skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Ability to multitask in a fast-paced environment
Qualifications
