About the Role

Island Records is looking for an Administrative Assistant who will report to the EVP, Marketing & Business Development and support multiple members of the marketing team. This ideal candidate has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. A "can-do" attitude is essential.

Responsibilities

  • Handle general administrative duties including maintaining calendars, scheduling meetings, booking travel, submitting expense reports, & taking notes
  • Assist in all areas of the marketing department including product management, tour marketing, advertising, and branding; also manage all back-end processes for marketing projects (processing POs, invoices, agreements, etc.)
  • Establish and maintain relationships with artists, artist management, and internal team
  • Create and update artist one-sheets, marketing plans, and pitch decks using Power Point, Key Note, and Google Slides
  • Manage all artist asset folders & facilitate asset creation with content team
  • Coordinate artist promo itineraries and booking artist travel
  • Plan and execute special events
  • Handle marketing related invoices and manage the overall marketing budget using excel & Google Sheets
  • Work with production to schedule releases

Qualifications

  • Bachelor's Degree preferred
  • Preferred 1 year of experience as an Administrative Assistant, receptionist and/or previous intern experience
  • Preferred 1 year of experience booking travel, calendar management
  • Passion for music discovery and the creative process
  • In touch with current trends, artists, and digital media
  • Ability to interact comfortably and effectively with employees of the company at all levels including Senior Management
  • Ability to interact comfortably and effectively with external partners and clients
  • High attention to detail, excellent follow-through, problem-solving and organizational skills
  • Self-motivated, proactive, and resourceful
  • Flexible – able to adjust to changing priorities, and able to multi-task
  • Excellent customer service skills
  • Excellent time management skills
  • Excellent written and verbal communication
  • Strong proficiency and working knowledge of Microsoft Office Products
  • Proficiency in creative programs such as Adobe Creative Suite, Keynote, etc.

Pay

Salary range: $40,520-$45,000. The actual base salary offered depends on a variety of factors, which may include, as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
