About the Role

Provides organizational and administrative support to department(s) and its team members. Addresses inquiries from guests and associates via telephone and in person. Develops and maintains positive working relationships with others, supports team goals, and listens and responds appropriately to concerns.

Responsibilities

  • Enters and retrieves work-related information from computer databases to update records, files, and reservations.
  • Transmits information or documents using a computer, mail, or fax machine.
  • Prepares letters, memos, and other documents using email, word processing, spreadsheet, database, or presentation software.
  • Processes incoming and outgoing mail.
  • Creates and maintains computer and paper-based filing and organization systems for records, reports, and documents.
  • Compiles, copies, sorts, and files records of departmental activities and business transactions.
  • Follows all company policies and procedures, maintains confidentiality of proprietary information, and protects company assets.
  • Welcomes and acknowledges guests according to company standards, anticipates and addresses guests’ service needs.
  • Communicates clearly and professionally, prepares and reviews written documents accurately, and answers telephones using appropriate etiquette.
  • Reports accidents, injuries, and unsafe work conditions to manager; completes safety training and certifications.
  • Stands, sits, or walks for extended periods or an entire work shift.
  • Moves, lifts, carries, pushes, pulls, and places objects weighing up to 10 pounds without assistance.
  • Performs other reasonable job duties as requested by supervisors.

Critical Tasks

  • Policies and Procedures: Maintains confidentiality of proprietary materials and information. Ensures uniform, nametag, and personal appearance are clean, professional, and compliant with company policies.
  • Guest Relations: Addresses guests' service needs professionally and timely. Listens and responds positively to guest questions, concerns, and requests. Welcomes and acknowledges guests with a smile, eye contact, and friendly verbal greeting. Anticipates guest needs and assists other associates to ensure prompt service.
  • Communication: Answers telephones within 3 rings, using clear and professional language. Prepares and reviews written documents for accuracy. Communicates efficiently to exchange information.
  • Working With Others: Supports co-workers and treats them with dignity and respect. Develops positive working relationships and promotes teamwork. Handles sensitive issues with tact and confidentiality.
  • Physical Tasks: Uses computers and point-of-sale systems to enter and locate work-related information. Moves, lifts, carries, pushes, pulls, and places objects weighing up to 10 pounds.
  • Documentation/Reporting: Creates and maintains filing systems for records, reports, and documents.
  • Computers/Software: Transmits information using a computer. Prepares documents using email, word processing, spreadsheet, database, or presentation software.
  • Office Equipment: Operates standard office equipment such as telephone, fax, photocopier, and calculator.
  • Safety and Security: Reports accidents or injuries immediately. Follows company safety and security policies.

Requirements

  • High school diploma or G.E.D. equivalent.
  • At least 1 year of related work experience.
  • No supervisory experience required.
