Job Duties

  • Work under the supervision of the Superintendent and Assistant Superintendent of Physical Plant.
  • Perform all duties assigned in a timely manner.
  • Responsible for adhering to established procedures.
  • Maintain a log of all incoming phone calls, relaying messages as necessary.
  • Maintain and order departmental office supplies.
  • Order supplies for Housekeeping and Maintenance as needed.
  • Maintain an accurate and complete filing system.
  • Utilize radio system to contact, inform, relay and co-ordinate communications with campus personnel to provide timely information.
  • Maintain a campus activity file and ensure that appropriate personnel are aware of campus functions.
  • Report any issues that could be of concern to the Superintendent or Assistant Superintendent immediately.
  • Work with contractors, subcontractors, and other vendors as assigned.
  • Maintain an on-call list for maintenance employees.
  • Enter requisitions for PO's in Banner as needed.
  • Monitor expenditures.
  • Type letters, reports, minutes from rough drafts.
  • Ensure work orders are generated for all maintenance requests and maintain work order files.
  • Maintain work hour records for Maintenance, Grounds, and Housekeeping personnel.
  • Assist with Shipping/Receiving in the absence of the S/R Clerk.

Mandatory Qualifications

  • Minimum of an Associate Degree in Business and Office Technology or related area.
  • Minimum of 2 years' experience in business related area.
  • Proficiency in an applicable word processing program.
  • Must be able to communicate effectively with college personnel at all levels and with the general Public.
  • Proficient using Microsoft Suite (i.e. Excel, Word, PowerPoint, Outlook).
  • Must have and maintain a valid MS driver's license.

Desirable Qualifications

  • Experience in an educational environment.
  • Experience using Banner computer software.
  • Experience using a Work Order type system, such as School Dude, etc.
