Administrative Assistant III (Day Shift - 7:30 am to Completion)
About the role
Provides advanced administrative support to a department or group, performing a variety of complex and confidential administrative duties with minimal supervision. This role is critical for efficient daily operations, ensuring tasks are completed accurately and on time, typically from 7:30 AM until daily operational completion.
Responsibilities
- Manage and maintain complex calendars, scheduling appointments, meetings, and conferences for multiple individuals.
- Prepare and edit correspondence, reports, presentations, and other documents, often handling sensitive and confidential information.
- Organize and coordinate meetings, including preparing agendas, taking minutes, distributing materials, and arranging logistics.
- Handle incoming and outgoing communications, including prioritizing emails, answering phones, and directing inquiries appropriately.
- Maintain and organize physical and electronic filing systems, ensuring easy retrieval of documents.
- Process expense reports, purchase orders, and invoices, ensuring compliance with company policies.
- Coordinate travel arrangements, including booking flights, hotels, and ground transportation.
- Assist with special projects and initiatives as assigned, conducting research and compiling data as needed.
- Provide support for onboarding new employees, including preparing workstations and necessary documentation.
- Order and maintain office supplies, ensuring adequate stock levels.
Requirements
- Typically requires 3+ years of related experience.
- High school diploma or equivalent required; Associate's degree or higher preferred.
- Minimum of 5 years of progressively responsible administrative experience, preferably in a corporate environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills with a strong command of English grammar and spelling.
- Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
- Demonstrated ability to exercise discretion, maintain confidentiality, and handle sensitive information with professionalism.
- Strong interpersonal skills with the ability to interact effectively with all levels of employees and external contacts.
- Proactive and resourceful with a strong attention to detail and accuracy.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to work until daily tasks are completed, which may extend beyond standard business hours.
Pay
Our Base Pay Range for this position is $22.10 - $36.83 per hour. This range is aligned with McKesson's pay philosophy and considers factors such as performance, experience, skills, equity, and geographical markets. In addition to base pay, other compensation, such as an annual bonus or long-term incentive opportunities, may be offered.
