Job Duties
- Prepare, process, and monitor purchase requisitions and travel authorizations in accordance with university policies.
- Operate office technology and systems, including printers, scanners, copiers, document management platforms, and related digital tools.
- Perform general administrative support functions, including mail distribution, document preparation, answering and directing phone calls, and responding to routine inquiries.
- Provide administrative and operational support to the Department Chair in carrying out departmental coordination and day-to-day operations.
- Aid the Department Chair with database management, data tracking, information organization, and reporting necessary for departmental functions.
- Type and prepare correspondence, purchase requisitions, forms, reports, and other documents with accuracy and professionalism.
- Greet students and visitors, determine the nature of business, provide appropriate information, or direct visitors to the appropriate faculty or staff member.
- Answer telephone calls, provide general information to callers, and route calls to appropriate personnel.
- Assemble, compile, and assist in preparing information for reports, projects, and departmental initiatives.
- Maintain attendance records, personnel time records, appointment schedules, and itineraries; compose routine letters and memoranda as needed.
- Assist with administrative coordination related to academic programs, research activities, and departmental initiatives, as needed.
- May provide guidance or oversight to lower-classified staff and student workers, including training on office procedures and systems.
- Perform other duties as assigned in support of departmental operations, including assisting with improvements to administrative processes and workflows.
Minimum Qualifications
- Graduation from high school or equivalent, including or supplemented by general secretarial courses.
- Must have a minimum of two (2) years of progressively responsible administrative or management support experience, preferably in higher education, research, government, non-profit, or similar environment.
- Ability to compose a variety or memoranda or letters with minimal instructions.
- Proficiency with Microsoft Word, Excel and Outlook.
