Position Summary
Our client is seeking an experienced Administrative Assistant III to provide high-level administrative support to business leaders and teams. This role requires exceptional organizational skills, complex calendar and travel management experience, strong communication abilities, and a proactive approach to problem-solving in a fast-paced corporate environment.
Key Responsibilities
- Manage complex executive calendars, prioritize scheduling requests, and coordinate meeting logistics.
- Schedule and organize internal and external meetings, including room reservations, visitor access, and equipment setup.
- Welcome and escort visitors, candidates, and meeting attendees as needed.
- Coordinate detailed domestic and international travel arrangements, including itineraries, visas, passports, Global Entry, TSA PreCheck, and security requirements.
- Prepare and reconcile monthly expense reports using Concur.
- Create and edit correspondence, reports, presentations, and other business documents.
- Compile, maintain, and analyze data to generate reports, charts, graphs, and presentations.
- Support departmental reporting and compliance-related activities.
- Assist with department meetings, team events, and project initiatives.
- Provide backup support to other administrative team members.
- Identify opportunities to improve administrative processes and workflow efficiency.
- Participate in special projects and perform additional duties as assigned.
Required Qualifications
- Proven experience providing high-level administrative support in a corporate environment.
- Strong calendar management and meeting coordination skills.
- Experience arranging complex domestic and international travel.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience using Concur for expense management.
- Excellent written and verbal communication skills.
- Strong attention to detail, organization, and time management abilities.
- Ability to handle confidential information with professionalism and discretion.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Experience supporting senior leaders or executives.
- Knowledge of corporate travel policies and international travel requirements.
- Experience creating reports, presentations, and data visualizations.
- Familiarity with financial services, investment management, or highly regulated industries.
