Administrative Assistant III providing high-level administrative support to executives and senior leadership in a hybrid work arrangement. Must reside within a 125-mile radius of our NY headquarters in the financial district.
About the role
The Administrative Assistant serves as a key point of contact for office operations and case administration, coordinating meetings and projects, maintaining accurate records and databases, preparing reports and materials, and supporting cross-functional initiatives to ensure smooth and efficient operations.
Responsibilities
- Provides high-level administrative support to State Insurance executive team and senior management.
- Collaborates with Corporate Services and cross-functional teams to support business needs and the effective delivery of operational priorities; reports on-site, in person, as required.
- Performs a broad range of assignments with flexibility, including cross-functional collaboration, auditing activities, and ad hoc projects in support of business objectives.
- Maintains databases, files, and record-keeping systems, ensuring accuracy, organization, and data integrity.
- Plans and coordinates meetings, conferences, training sessions, and events, including all related logistics.
- Prepares reports, presentations, correspondence, and other business materials.
- Handles sensitive and confidential information with discretion and professionalism.
- Supports and coordinates programs, projects, and initiatives, including tracking progress, identifying risks, and assisting with issue resolution.
- Compiles and analyzes data to support reporting and evaluation of operational or project performance.
- Assists in reviewing and improving administrative processes to enhance efficiency and effectiveness.
- Maintains regular and reliable attendance and participates in meetings and training as required.
Requirements
- Associate degree and a minimum of 3 years of progressive experience in an administrative support capacity; or an equivalent combination of education and experience.
Skills
- Strong organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
- Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels of the organization.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exceptional attention to detail and accuracy in all aspects of work.
- Ability to maintain strict confidentiality and exercise discretion when handling sensitive information.
Pay
Starting salary range: $72,000 - $76,500. This role is eligible for an incentive opportunity targeting 7.5% of annual salary.
