Administrative Assistant II – Small Business Development Center
About the role
The Small Business Development Center (SBDC) and TCMA are seeking an Administrative Assistant to provide essential administrative and operational support.
Responsibilities
- Reconciling program expenses and engaging in college’s procurement processes and procedures.
- Making sure SBDC program budget is monitored.
- Coordinating and handling FSBDC events, working with security, physical plant, Institutional Advancement, IT, booking rooms, organizing agendas and refreshments and food at events when required.
- Maintaining appropriate records and assisting with reporting program activities to the appropriate Florida Small Business Development Center Network Office by submitting performance reports on a timely basis.
- Ensuring compliance with the specifications of the grant and federal regulations.
- Flexibility to work some evenings and weekends including some early morning for special events.
Qualifications, Knowledge and Skill Requirements
- Associate degree; three (3) years of secretarial related work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
- Proven clerical experience and experience with Microsoft Office and Windows applications to include and Microsoft Excel as well as course web registration experience.
- Proven knowledge of Email marketing software and social media marketing.
- Excellent communication skills (written and verbal) necessary to provide information to the administration, staff, and clients regarding program services and information.
- Excellent customer service skills and telephone etiquette.
- Ability to communicate effectively with diverse student populations, administration, faculty, staff, and confidential matters.
- Ability to work well with students, faculty and co-workers and have a positive attitude.
- Ability to multi-task and to be well organized.
- Ability to work effectively, efficiently, highly independently as well as with others and be self-motivated.
- Must uphold high ethical and professional standards and possess a professional appearance.
- Knowledge of the business counseling and consulting process to effectively work with entrepreneurs and small business owners.
- Ability to maintain strict accuracy and be detail oriented.
- Strong leadership, organizational, and interpersonal skills.
- Ability to successfully respond to needs of clients in a timely fashion.
- Innovativeness, professional knowledge, accuracy of work, maintenance of confidentiality, and ability to meet deadlines are critical to this position.
Physical Demands
This position classifies the physical exertion requirements as light work involving lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing, or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do substantially all of these activities. If someone can do light work, we determine that he or she can also do sedentary work, unless there are additional limiting factors such as loss of fine dexterity or inability to sit for long periods of time.
